Position Summary
This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility.
The Recruiting Specialist coordinates and executes organization-wide recruitment for the Y, helping attract and hire talented, mission-aligned employees across full-time, part-time, seasonal, professional, and frontline positions. Working closely with hiring managers and HR leadership, this position manages the day-to-day recruiting process from job posting through hire while strengthening talent pipelines, recruiting practices, employer presence, and the candidate experience.
As an important first point of connection with prospective employees, the Recruiting Specialist helps ensure every candidate experiences a hiring process that is welcoming, responsive, professional, and reflective of our Y culture.
Essential Functions
Coordinates full-cycle recruitment across the organization, including job postings, sourcing, application review, initial screening, interview scheduling, candidate communication, references, offers, pre-employment requirements, and transition to onboarding.
Partners with hiring managers to clarify staffing needs, position requirements, hiring timelines, and candidate profiles; recommends practical recruiting approaches for high-volume and difficult-to-fill positions.
Actively sources candidates through job boards, social media, referrals, community partnerships, colleges and universities, workforce organizations, professional networks, job fairs, and other creative channels.
Conducts initial candidate screenings to assess qualifications, interest, availability, compensation expectations, and alignment with the Y's mission and culture; provides hiring managers with qualified candidate recommendations.
Coordinates interview processes and maintains timely, professional communication with candidates and hiring managers throughout selection and hiring.
Prepares and maintains job postings, recruiting materials, interview resources, candidate records, hiring documentation, and accurate information within applicant tracking and HR systems.
Coordinates references, background checks, required credentials, and other pre-employment requirements; works with HR and hiring managers to ensure a smooth handoff into new-hire onboarding.
Represents the Y at job fairs, hiring events, schools, and community organizations and develops ongoing relationships that strengthen talent pipelines.
Supports the Y's employer brand by communicating our mission, culture, employee experience, career opportunities, and community impact authentically and consistently.
Tracks recruiting activity and key measures such as applicant flow, time-to-fill, source effectiveness, hiring outcomes, and recurring staffing challenges; identifies opportunities to improve recruiting effectiveness and efficiency.
Maintains awareness of recruiting trends and local labor-market conditions and brings forward recommendations to strengthen the Y's ability to attract and hire talent.
Supports seasonal and high-volume hiring initiatives and other HR projects and administrative needs as assigned.
Other duties as assigned.

At least 3-1/2 years of experience in recruiting, talent acquisition, human resources, staffing, or a closely related field; equivalent combinations of education and experience will be considered.

Previous experience with applicant tracking systems, HR technology, job boards, and core business software, including Microsoft Office applications.
Excellent written, verbal, interpersonal, and organizational skills
Previous experience managing detailed administrative work accurately while maintaining responsiveness, confidentiality, and sound judgment.
Preferred Qualifications
Experience recruiting for a YMCA, nonprofit, education, childcare, recreation, healthcare, hospitality, or other high-volume/service-oriented organization.

Experience developing community recruiting partnerships and representing an organization at job fairs or hiring events.
Experience using recruiting data and metrics to improve hiring outcomes.
