Position Overview

Luxus Group is seeking a highly organized, responsive, and proactive Recruiting Coordinator to provide full-time support to an Account Manager responsible for client relationships, recruiting, and business development.

The Recruiting Coordinator will help manage the candidate research, outreach, scheduling, database administration, document preparation, client submissions, and follow-up activities required to keep recruiting searches and business-development initiatives moving forward.

The ideal candidate is comfortable communicating with candidates and prospective clients, managing multiple priorities, learning recruiting technology, and working independently in a remote environment.

This is a production-focused position with clear performance expectations. Success will be measured primarily by the Recruiting Coordinator's ability to generate qualified candidate conversations, schedule prospective-client appointments, maintain accurate data, provide timely follow-up, and support an efficient recruiting operation.

The Account Manager is responsible for developing client relationships, understanding hiring needs, interviewing candidates, advising clients, generating new business, and producing revenue. The Recruiting Coordinator provides the research, outreach, scheduling, organization, documentation, and follow-up support that allows the Account Manager to remain focused on these high-value activities.

Every candidate identified, response answered, appointment scheduled, database record updated, and submission prepared helps move a search closer to a successful hire.

The Recruiting Coordinator will help Luxus Group:

  • Create a consistent pipeline of qualified candidates for active searches.

  • Allow the Account Manager to spend more time interviewing, consulting, building relationships, and closing business.

This is not solely an administrative position. It is a measurable, production-oriented role that directly contributes to successful placements, client satisfaction, new-business development, and company revenue.

Primary Responsibilities

Client and Search Support

  • Attend client discovery calls to learn about the client's business, culture, hiring challenges, and position requirements.

  • Attend client launch calls and document search priorities, required qualifications, compensation, timelines, and next steps.

  • Help organize active searches and ensure agreed-upon tasks and follow-up activities are completed.

  • Prepare and submit qualified candidates to clients.

  • Prepare and send recruiting agreements, contracts, and other client-facing documents as directed.

  • Maintain professional communication with candidates and clients throughout the recruiting process.

Candidate Research and Outreach

  • Research prospective candidates using Luxus Group's database, lead-generation platforms, professional networks, LinkedIn, and other approved sources.

  • Review candidate backgrounds and identify individuals who may align with active searches.

  • Build and deploy email, text-message, and LinkedIn outreach campaigns.

  • Monitor and respond to candidate replies promptly and professionally.

  • Conduct warm follow-up calls with candidates who have responded or expressed potential interest.

  • Schedule qualified candidate interviews and introductory calls for the Account Manager.

  • Maintain organized follow-up activities so interested and qualified candidates are not overlooked.

  • Keep candidates informed of next steps and ensure they receive a professional recruiting experience.

Business Development Support

  • Research prospective clients and decision-makers within Luxus Group's target industries and markets.

  • Support email, text, LinkedIn, and telephone outreach to prospective clients.

  • Monitor and respond to interested business-development prospects.

  • Conduct appropriate follow-up with prospective clients.

  • Schedule qualified prospective-client appointments for the Account Manager.

  • Assist with preparing information and documents needed for prospective-client conversations.

Database and Administrative Support

  • Enter, update, and maintain accurate candidate, client, job, and activity information within the company's recruiting database.

  • Document outreach attempts, responses, conversations, scheduled meetings, and required follow-up activities.

  • Create, edit, format, and post job descriptions.

  • Format and prepare confidential resumes and candidate-profile documents.

  • Remove identifying or sensitive information from resumes when confidential presentations are required.

  • Prepare candidate submissions, client presentations, recruiting agreements, contracts, and related documentation.

  • Help maintain accurate workflows, calendars, task lists, and recruiting records.

  • Ensure documents and database records are complete, professional, and accurate before submission.

Communication and Responsiveness

  • Manage incoming candidate and prospective-client responses during assigned working hours.

  • Monitor and respond to time-sensitive candidate and prospective-client communications after standard office hours when necessary.

  • Ensure candidates and prospective clients receive prompt, professional, and accurate communication.

  • Attend the required daily virtual team meeting at 8:45 a.m. Eastern Time.

  • Communicate regularly with the Account Manager regarding candidate activity, scheduled appointments, urgent responses, and follow-up priorities.

Key Performance Indicators

The Recruiting Coordinator will be expected to consistently achieve the following minimum results:

  • Schedule at least two qualified candidate calls per business day for the Account Manager.

  • Schedule at least two qualified prospective-client calls per week for the Account Manager.

  • Respond promptly to interested candidates and business-development prospects.

  • Maintain complete and accurate records in the company database.

  • Complete candidate submissions, contracts, job postings, and requested documents accurately and on time.

  • Demonstrate consistent follow-up with candidates and prospective clients.

  • Maintain professional communication across email, telephone, text messaging, and LinkedIn.

  • Complete assigned recruiting and business-development support activities within established deadlines.

Preferred Qualifications

Compensation Progression

  • Starting salary: $45,000 annually

  • After six months: Increase to $50,000 annually

  • After 12 months: Increase to $55,000 annually

Salary progression will occur according to the established timeline and will be subject to satisfactory job performance, fulfillment of the position's responsibilities, and achievement of KPI expectations.

Schedule and Work Environment

This is a full-time, work-from-home position consisting of an eight-hour workday. The Recruiting Coordinator will have flexibility in arranging working hours based on business needs, candidate availability, prospective-client activity, and coordination with the Account Manager.

The employee must be available for the required 8:45 a.m. Eastern Time virtual morning meeting and provide appropriate coverage for candidate and prospective-client responses, including reasonable after-hours monitoring when needed.

Because this position involves frequent telephone calls and virtual meetings, the employee must maintain a secure, quiet, professional, and distraction-free home office.

Luxus Group will provide the employee with a laptop, monitors, and a professional headset.

Training and Onboarding

The selected employee will complete an initial two-week training and onboarding program that includes:

  • Recruiting technology and database training

  • Candidate research and outreach procedures

  • Candidate and client communication standards

  • Business-development support processes

  • Resume, job-description, and candidate-submission preparation

Reporting Structure

The Recruiting Coordinator will work directly with the Account Manager on daily recruiting, client-support, and business-development activities.
