Job Description Summary:
IT Operations Manager oversees the M365 Systems Administration team and the day-to-day operations, work management, and continuous process improvement of the IT Operations function. The position will require excellent leadership and team building skills, as well as a deep and broad knowledge of the Microsoft 365 stack, including Entra ID, M365, Teams, SharePoint, and OneDrive. The IT Operations Manager will drive operational efficiency across IT service and work management practices, own the enterprise endpoint patch management program and IT change management process at the leadership level, and will also collaborate closely with the IT Infrastructure & Cloud Operations Manager and the security team on shared infrastructure, identity, and compliance concerns.
This role can be based full-time in our office in San Diego, CA, Bend, OR, or Edison, NJ. Specific location details and expectations will be discussed during the interview process.
Job Description:

Position Responsibilities and Duties:
  • Establish team goals, conduct performance reviews, and support the professional development of team members.
  • Oversee the day-to-day operations of the M365 Systems Administration team, including managing and optimizing the Microsoft 365 stack (M365, Entra ID, Teams, SharePoint, OneDrive) to support the modern workplace.
  • Own the IT change management process for M365 and endpoint changes, ensuring risk assessments and rollback plans are documented and presented for approval prior to production deployment.
  • Drive operational efficiency and continuous process improvement across IT work management practices, including ticketing, request fulfillment, and SLA performance within Freshservice & Jira.
  • Collaborate closely with the IT Infrastructure & Cloud Operations Manager and team on shared concerns such as identity, security, and cross-team dependencies.
  • Collaborate with various stakeholders across the organization to understand business needs and translate them into technical requirements.
  • Analyze continuously the current processes, technologies, and vendors to identify areas for improvement and/or changes.
  • Ensure that all projects are completed on time, within budget, and to the highest quality standards.
  • Stay up to date with emerging technologies and industry best practices in the Microsoft 365 and modern workplace ecosystem to ensure the company's environment remains innovative and competitive.
  • Develop and maintain IT policies, SOPs, and runbooks, ensuring that they comply with industry standards and regulatory requirements.
  • Participate in the development and management of the departmental budget, ensuring that resources are allocated effectively.
  • Evaluate and recommend new technologies and tools that can help improve the efficiency and effectiveness of the IT department.
  • Support M&A integration activities for the Microsoft 365 workstream, including tenant migrations, user provisioning, and Intune policy alignment for acquired entities.
  • Build and maintain executive-level dashboards and reporting on patch compliance, ticket metrics, and SLA performance to support leadership visibility.
  • Plan and document activities necessary to ensure business continuity for M365 and SaaS-based systems in the event of a disaster, in coordination with the Infrastructure team.
  • Collaborate with the security team to evaluate and implement security protocols.

Minimum Skills or Experience Requirements:
  • Bachelor's degree in Computer Science, Information Systems, or related field or equivalent combination of education and experience.
  • 7+ years of experience in IT operations or Microsoft 365 administration, with a minimum of 3 years of experience managing a team.
  • Extensive knowledge of the Microsoft 365 stack, including Entra ID, M365, Teams, SharePoint, OneDrive, Intune, and Autopilot.
  • Experience with enterprise endpoint patch management programs, including Windows Autopatch, Intune update policies, and third-party patching tools (e.g., Patch My PC).
  • Familiarity with ITIL-based change management processes, including CAB submissions, risk assessments, and rollback planning.
  • Experience with ITSM platforms such as Freshservice for incident, change, and request management.
  • Experience with work management tools such as Jira, and a demonstrated focus on process improvement and operational efficiency.
  • Strong leadership and team building skills, with the ability to motivate and mentor team members.

  • Excellent project management skills, with the ability to manage multiple projects simultaneously.

  • Strong analytical and problem-solving skills, with the ability to identify and mitigate risks.

  • Excellent communication and interpersonal skills, with the ability to build strong relationships with stakeholders across the organization.
  • Ability to work independently with minimal supervision.
  • Ability to work effectively in a team environment and in cross-functional teams, including close collaboration with the Infrastructure & Cloud Operations team.
  • Ability to effectively document processes, procedures, and technical solutions.
  • Experience supporting M&A or tenant migration projects in a Microsoft 365 environment is a plus.
