About the Position 

The Financial Office Administrator is a key member of our administrative team. 

Although bookkeeping is an important part of this role, it is not a traditional bookkeeping position. 

Instead, you'll combine record keeping, financial administration, office administration, executive support, project coordination, and operational support to help multiple organizations run efficiently. You'll work closely with leadership and become a trusted partner who helps move important initiatives forward.

What You'll Do 


Financial Administration & Bookkeeping 

  • Maintain accounting records and supporting documentation for multiple organizations. 
  • Process financial transactions using QuickBooks, Excel, ClickUp, and related systems. 
  • Process invoices, payments, reimbursements, and receipts. 
  • Assist with bank reconciliations. 
  • Maintain organized financial records and supporting documentation. 
  • Prepare reports and schedules for management. 
  • Coordinate with accountants, tax professionals, lenders, and auditors. 
  • Monitor financial workflows and identify discrepancies or missing information. 


Administrative Operations 

  • Monitor shared email accounts and respond to inquiries. 
  • Track projects and operational activities using ClickUp. 
  • Maintain business records and organizational documentation. 
  • Coordinate meetings, schedules, and administrative processes. 
  • Support vendor relationships. 
  • Conduct research and gather information to support business decisions. 


Executive Support 

  • Provide direct support to company leadership. 
  • Organize priorities, follow-up items, and deadlines. 
  • Prepare presentations, reports, and meeting materials. 
  • Coordinate activities across multiple organizations and projects. 
  • Help ensure commitments are completed on time. 
  • Perform miscellaneous administrative support that enables leadership to maximize their effectiveness. 


Office Support 

  • Help prepare meeting spaces. 
  • Maintain office supplies and materials. 
  • Welcome visitors, students, interns, and partners. 
  • Support day-to-day office operations. 
  • Contribute to a professional, organized workplace.

What We're Looking For 


Required Qualifications 

  • Bookkeeping and basic accounting knowledge. 
  • Experience with QuickBooks or similar accounting software. 
  • Strong Microsoft Excel skills. 
  • Proficiency with Microsoft Office.

  • Strong written and verbal communication.

Compensation

Salary Range: 

  • $52,000 to $62,000 depending on qualifications and experience.
