About the Position

The Marketing Office Administrator serves as a key member of our administrative team.

Although communications and marketing skills are important for the position, the broader role is to help leaders, projects, and initiatives move forward.

You ‘ll combine communications support, marketing coordination, website management, office administration, and executive support responsibilities to help multiple organizations run efficiently.

What You'll Do

Communications and Marketing Support

• Website Content and Implementation:
• Participate in the creation of website content.
• Coordinate website content updates, improvements and organization.
• Manage external resources responsible for website implementation and maintenance.
• Coordinate communications-related projects across multiple organizations and initiatives.
• Create and maintain presentations, slide decks, one-pagers, reports, and other communications materials.
• Assist with development and maintenance of marketing materials, visual assets, business cards, and branding resources.
• Support stakeholder communications, relationship management, and follow-up activities.
• Help ensure communications and marketing-related projects remain on schedule by tracking progress, coordinating follow-up activities, and assisting with project management efforts.
• Assist with social media management and content coordination.
• Support preparation of impact reports, organizational updates, newsletters, and related communications.
• Participate in development of educational content, curriculum materials, and program resources.
• Coordinate with external vendors, designers, website developers, and service providers as needed.

Administrative Operations

• Monitor and process company email accounts and inquiries.
• Track projects, tasks, and operational activities using project management and organizational software tools.
• Maintain business records, files, and organizational documentation.
• Coordinate schedules, meetings, and administrative processes as requested.
• Support vendor and service provider relationships.
• Conduct research and gather information to support operational decision-making.

Executive Support

• Provide direct support to company executives.
• Help organize priorities, information, and follow-up activities.
• Assist with preparation of presentations, reports, and meeting materials.
• Coordinate activities across multiple projects and organizations.
• Help ensure commitments, deadlines, and operational tasks are completed on time.
• Perform miscellaneous support activities to help company leaders generate maximum value.

Office Support

• Assist with meeting setup and breakdown.
• Monitor, receive, organize, and help maintain office supplies and materials.
• Support visitors, guests, students, interns, and partners when appropriate.
• Assist with day-to-day office needs as they arise.
• Contribute to a positive, organized, and professional workplace.

What We're Looking For

Required Qualifications

• Strong written communication and editing skills.
• Proficiency with Microsoft Office applications, particularly PowerPoint and Word.
• Experience creating presentations, reports, marketing materials, or communications content.
• Strong organizational and documentation skills.
• Ability to manage multiple priorities and projects simultaneously.
• Excellent written and verbal communication skills.
• High attention to detail and accuracy.
• Ability to work independently while also functioning as part of a collaborative team.

Beneficial, But Not Required Qualifications

• Experience with website content management systems.
• Experience with project management, collaboration, and document management platforms such as ClickUp, SharePoint, or similar tools.
• Experience managing social media platforms for organizations or businesses.
• Experience supporting multiple entities, business units, or organizations.
• Experience coordinating communications, marketing, stakeholder engagement, or project management activities.
• Familiarity with branding, graphic design tools, or visual communications.

Compensation

Salary Range:

• $58,000 to $68,000 depending on qualifications and experience.

Benefits:

• Company paid health insurance for you.
• 21 days of paid holidays and time off.
