Financial Services Sales Assistant

Position Overview

The Financial Services Sales Assistant is responsible for managing client service needs and providing an exemplary client experience for Mid Penn Financial Services clients and prospects. This individual will maintain client records, ensure proper documentation is recorded and maintained. The Financial Services Sales Assistant will act as liaison to the Financial Advisor and clients and will act as point of contact to respond to or mitigate questions or concerns.

  • Manages client communications and follow up with clients by phone, email or by mail.
  • Assists with scheduling and arranging client appointments including reminder calls if requested.
  • Coordinates appointment times and locations with appropriate Financial Center personnel to ensure a meeting area will be available and the Financial Center knows to greet the clients.
  • Proactively contacts clients to schedule financial reviews or other financial meetings.
  • Provides general administrative support including data entry, mailing, filing and organizing documents and other related information to audit standards.
  • Provides completed service forms for clients to sign and return as part of the exceptional client experience expectation.
  • Manages day-to-day client transactions and ensures an overall positive client experience.
  • Coordinates client education events by sending invitations, managing the RSVP list, attending the event, greeting clients and managing logistics on the day of the event.
  • Coordinates necessary updates for Ambassador class meetings and binder preparation.
  • Contacts carriers and investment companies who do not report thru the Broker / Dealer to facilitate quarterly AUM Assets Under Management reports as required by the organization executive management team.
  • Assists in ordering MPFS branded materials and having them delivered to required locations.
  • Provides assistance in facilitating requests thru the organization marketing team for business card orders and other marketing needs.
  • Provides assistance to all Financial Advisors and Financial Consultants who do not have a sales assistant as needed.
  • Builds strong, meaningful relationship with clients.
  • Contacts individuals with carriers and investment companies to give or obtain information on client accounts, sales materials or service needs.
  • Maintains department records and files to audit standards and ensures the records remain secure.
  • Assists Advisor in calling efforts to clients identified for sales initiative and following up on referral and lead opportunities provided.
  • Assists clients in obtaining specialized services from other company business lines as appropriate.
  • Creates and maintains client files, ensures contents are complete accurate and to audit standards.
  • Coordinates and manages Financial Advisor schedules; Manages requests for appointments and prioritizes based on situation.
  • Assists clients with access online websites via conference calls with the appropriate personnel at the company if necessary.
  • Assists Financial Advisor in completing and/or maintaining required reports for monthly submission.
Education & Qualifications
  • A minimum of four (4) years' experience in a related position normally required
  • A high school diploma or equivalent with an emphasis in business curriculum
  • Current industry experience.
  • Proficiency with Microsoft Office products required.
  • Strong organization skills and attention to details required.
  • Strong communications skills via telephone and email required.

Proficient reading, writing, grammar, and mathematics skills; proficient interpersonal relations and communicative skills; proficient typing skills; moderate composition skills; ability to operate word processing equipment and/or sufficient knowledge to use word processing software; knowledge of various office machines; a working knowledge of products and services, along with the operational policies and procedures that impact these products; ability to sit, stand, walk, bend, stoop, reach with hands or arms, use hands to manipulate objects, handle or feel, and lift items weighing 20 lbs. or less; visual, auditory and speaking skills; valid driver's license is required.

Specific compensation offered will be determined based on a combination of factors including the candidate's knowledge, skills, depth of work experience, and relevant licenses/credentials. The salary range may vary based on geographic location.
