Job description

Intake Specialist

Seeking Intake Specialist who loves helping people!

If you are interested in applying for this position, please read the entire job posting and follow all instructions explicitly. Applications that do not follow all instructions will not be considered.

Are you a "people person" who not only loves helping people, but also has a knack for identifying opportunities to assist them through our services? Do you enjoy active listening and utilizing problem solving skills to help others?

Do you enjoy working in a fast-paced environment and being part of a team whose mission is to serve individuals in some of their most difficult times? If so, keep reading.

We are a family law and probate/estate planning law firm focused on helping our clients navigate two of life's most stressful situations: divorce and the death of a loved one. We need an enthusiastic and client focused Intake Specialist to help screen new potential client matters to determine whether our firm can assist them in their case.

We believe that clients come to us with personal problems that involve the legal system and really emphasize listening to what they say, identifying their fears and putting their minds at ease, as opposed to bragging about the credentials of our attorneys or walking them through the proverbial "sausage factory" and confusing them with details about the legal system. We are growing fast and need an Intake Specialist who is highly organized, detail oriented, and who possesses exceptional communication skills. The ideal candidate must exude patience and compassion, must enjoy talking to prospective clients on the phone and must understand that they must be able to gain the prospective clients' trust and establish a strong rapport with them.

This position will be responsible for important work, including:

  • Fielding phone calls from potential new clients triaged directly from the Receptionist.
  • Running conflict checks on potential new clients to ensure our Firm is not conflicted out of potential representation.
  • Gathering important information over the phone as part of a larger intake process in order to qualify leads.
  • Maintaining the Firm's CRM and lead tracking spreadsheet to ensure accurate metrics analyzed by the Firm's marketing team to track various marketing and advertising campaigns.
  • Communicating with members of the law firm, including attorneys, to update them on the details of potential new client matters.
  • Actively identifying opportunities to offer additional services to potential clients, effectively converting leads into engaged clients.
  • Booking strategy sessions for potential new clients with attorney and non- attorney members of our team.
  • Utilizing communication skills to nurture potential clients who are already facing major life events.
  • Conducting follow up calls with potential new clients who did not engage the Firm.
  • Working closely with our marketing team as well as advertising vendors.

If these statements appeal to you, then you may be our next Intake Specialist:

  • You are empathetic, patient and love speaking with people from all different walks of life.
  • You smile when talking to clients on the phone or in person.
  • You have experience in sales or lead conversion.
  • You are a team player with an attention to detail.
  • You are very good with calendars, e-mail, excel spreadsheets and practice management software.
  • Your middle name is "No Drama."
  • You love talking to clients on the phone and being a voice they can trust.
  • You enjoy marketing and sales.
  • You relish the opportunity to be an integral part of the growth process for our firm and love seeing progress occur with the proper implementation of systems designed to foster growth and sustainability.
  • You embrace core values such as Accountability, Adaptability, Proactivity, Integrity and Synergy.

We love to help people learn and grow and will provide "hands on" training, including shadowing our current Intake Specialist, but we need someone ready to hit the ground running, who is enthusiastic and ready to roll. This is a full-time job where you are expected to be the fulcrum for our firm's growth and sustainability, so you absolutely must be able to work in the office for 40 hours per week. Salary is commensurate with skill and experience and is negotiable and the Firm provides benefits, including health insurance, disability insurance, personal development education and Paid Time Off.

There is an opportunity for growth in our firm for those candidates who can demonstrate their profitability.

Prepare a cover letter with no more than TWO paragraphs and a closing sentence. In the first paragraph explain what you believe are the 3 most important qualities needed in someone who will be an Intake Specialist. As a closing sentence please write, "I have read the instructions contained in the job posting and have followed the instructions."

We look forward to reviewing your application.
