Dental Scheduling Coordinator

We are a busy, patient-focused periodontal practice seeking a friendly, detail-oriented Dental Scheduling Coordinator with a strong focus on new patient intake and insurance verification. This role is ideal for someone who enjoys being the first point of contact for patients, gathering accurate information, coordinating referrals, verifying benefits, and helping new patients feel confident and prepared for their periodontal consultation.

Responsibilities
  • Manage the new patient intake process from the first phone call through the initial periodontal consultation.
  • Gather and accurately enter new patient demographics, medical and dental history, referral information, radiographs, and required forms.
  • Verify dental insurance eligibility, periodontal benefits, frequencies, deductibles, maximums, waiting periods, limitations, and coordination of benefits when applicable.
  • Clearly document insurance details in the practice management system and communicate financial expectations to patients before their visit.
  • Schedule new patient consultations, periodontal treatment visits, maintenance appointments, and follow-up care with attention to provider time and clinical needs.
  • Coordinate with referring dental offices to obtain referral slips, current radiographs, treatment notes, and supporting records prior to the appointment.
  • Answer incoming calls, return messages promptly, and provide a warm, professional experience for patients by phone, email, and in person.
  • Communicate with the clinical team regarding new patient needs, medical considerations, treatment timing, and provider preferences.
  • Support check-in, check-out, payment collection, and general front office duties as needed.
Primary Focus: New Patient Intake and Insurance Verification

The Scheduling Coordinator plays a key role in preparing each new patient for a successful first visit. This includes collecting complete intake information, confirming referral records, obtaining radiographs when needed, verifying periodontal insurance benefits, and documenting coverage clearly so the team and patient are prepared before the consultation.

Qualifications

  • Comfortable gathering complete new patient information and following up on missing forms, radiographs, referrals, and insurance details.
  • Experience using dental practice management software such as Denticon,Dentrix,or similar systems.
  • Excellent phone etiquette, written communication, organization, and attention to detail.
  • Ability to prioritize multiple tasks in a fast-paced specialty practice while maintaining a calm, professional manner.
  • Friendly, dependable, team-oriented, and committed to delivering an outstanding first impression for every new patient.
  • High school diploma or equivalent required; additional dental training or administrative education is a plus.
Schedule

Full-time position, Tuesday - Friday. Typically, 7:30am-5:00Pm. This position will be based in Kirkland and requires travel to our Everett Location on occasion.
