Marketing Operations Specialist, Intake
Lantern is looking for a Marketing Operations Specialist, Intake to join our Member Activation team. This role sits at the operational center of Lantern's two core member activation programs, serving as the primary intake point for all campaign and client activation requests. For the awareness program, the Marketing Operations Specialist owns end-to-end intake for all campaign assets and custom member-facing materials - coordinating approvals, packaging artwork, and ensuring every request is fully documented and complete before handoff to the Fulfillment Manager. For the targeted marketing program, this role owns a parallel workflow focused on client readiness: coordinating and documenting approvals, tracking data review completion, and ensuring each client meets all readiness criteria before handing off to the Fulfillment Manager for activation. With deep cross functional touchpoints across Member Marketing, Client Success, Strategy, Brand, Data, and external partners, this role requires exceptional organizational skills, strong follow-through, and a proactive approach to managing high volumes of concurrent work.
Location: Hybrid - 3x in office per week minimum. Dallas, Texas; New York, NY; or other Lantern hub office locations
Responsibilities:
Awareness Program & Intake Request Management
  • Own and manage the intake queue end-to-end; triage all incoming requests and route to the correct owner
  • Review all intake submissions for completeness and accuracy; follow up with requestors to resolve missing information before routing
  • Ensure all client requirements and approvals are in place before handoff to fulfillment for both standard and custom client campaigns
  • Chase and track all pending campaign approvals; proactively follow up with internal stakeholders and Client Success to keep approvals from stalling
  • Maintain and continuously improve intake forms, request templates, and intake workflow documentation to ensure consistency and reduce back-and-forth

Targeted Program Intake & Readiness Management
  • Manage day-to-day maintenance of the tracking board from client authorization through ready-to-activate status
  • Document client approval; own long-term management of the approval flow through Salesforce
  • Ensure all intake requirements and approvals are in place before hand-off to fulfillment for client activation
  • Contribute updates to weekly status meetings; flag pending or blocked requests and upcoming volume

Process Improvement & Reporting
  • Provide intake workflow input to continually improve process design and SOP documentation efforts
  • Track intake volume and turnaround metrics; surface trends, backlogs, and capacity flags to the Program Manager
  • Support the broader Marketing Operations team in building scalable, repeatable processes as volume grows

Requirements:
  • Bachelor's degree in Marketing, Business, Communications, or a related field, or equivalent practical experience โ€ข 2-3 years of experience in marketing operations, project coordination, or a related field
  • Experience managing a high-volume intake, approval tracking, or request management workflow
  • Proficiency with project management or work management tools (Monday.com or similar)
  • Strong written communication skills; comfortable following up with stakeholders at all levels and routing requests with clear, complete context
  • High attention to detail with the ability to manage multiple concurrent requests without losing accuracy or timeliness
  • Familiarity with CRM or marketing automation platforms (Salesforce or SFMC) is a plus
  • Experience working within a cross-functional marketing team in a healthcare, benefits, or B2B environment is a plus
