Job description

Position: Legal Intake Assistant
Job Type: Full Time, In Office (No remote/Hybrid)
Location: Foothill Ranch, California
Company: Manning Law, APC
Compensation: $22.50 per hour, depending on experience; 401(k) plan available

Manning Law, APC is seeking a detail-oriented, organized, and proactive Legal Intake Assistant to support our intake and case development process. This position is best suited for someone who is comfortable working with documents, data, and digital files, and who can manage their time independently while maintaining accuracy and completeness.

The Legal Intake Assistant will help review and process potential case information, organize and maintain case files, complete data entry, assist with document preparation, and support the legal team with administrative tasks. This role requires strong attention to detail, the ability to follow established procedures, and the judgment to prioritize work based on deadlines, urgency, and new requests as they arise. Candidates must also be flexible and willing to assist where needed, when needed, based on department priorities and direction from management.

This is a traditional legal intake and administrative support role; however, our office also uses modern tools, including AI-assisted systems, to help support case review, document processing, and workflow organization. Prior AI experience is not required, but candidates should be open to learning and comfortable working with technology.

Key Responsibilities:

  • Reviewing and processing client or case submissions
  • Gathering and organizing relevant information to assist with case setup
  • Performing accurate data entry and file maintenance
  • Processing, organizing, and reviewing documents and records
  • Drafting, revising, and organizing legal documents, reports, correspondence, and internal summaries
  • Assisting with filings, document preparation, and administrative case support
  • Verifying invoices and submitting them to the accounting department
  • Communicating with clients, vendors, and internal team members in a clear and professional manner
  • Preparing and organizing meeting materials as needed
  • Managing assigned tasks efficiently and prioritizing workload throughout the day
  • Adjusting priorities when new requests, deadlines, or case needs arise
  • Assisting with additional tasks or department needs as directed
  • Completing assigned work accurately, thoroughly, and within expected timeframes
  • Supporting the legal team with special projects and other assigned tasks

Position Requirements:

Technical Requirements:
