Job description

Intake Specialist

Greenberg Traurig (GT), a global law firm with locations across the world in 15 countries, has an exciting employment opportunity for you. We offer competitive compensation and an excellent benefits package, along with the opportunity to work within an innovative and collaborative environment.

Join our Conflicts Team as an Intake Specialist located in one of our GT Offices.

This role will be based in one of our GT offices, on a remote basis. This role reports to the Intake Manager.

Position Summary

This position's primary responsibility is regarding the data entry of information into the Conflicts and Accounting System software. This individual will also assist on other projects as assigned to include: database clean-up, closing of new clients, and responding to inquiries from clients (namely from secretaries). This role will report to the Intake Supervisor.

Key Responsibilities

• Assists with the administrative tasks associated with opening new matters in workflow

• Ensures accurate and timely completion of assigned tasks

• Assists with the monitoring of back office processes as it pertains to the opening of new matters in CMS

• Assists Supervisor with the review of clients prior to requesting them to be closed by the firm's Accounting / Finance department

• Assists Supervisor and others by responding to inquiries sent by secretaries and attorneys regarding the status of their request

• Assists with other projects and tasks as assigned

Qualifications

Skills & Competencies

• Excellent interpersonal and communication skills (oral and written), professional demeanor, and presentation, including active listening and ability to convey information clearly

• Ability to prioritize workload and adapt to a fast-paced, high-pressure environment to meet strict deadlines to achieve business goals and objectives

• Highly motivated, self-starter who can work well under minimal supervision, as well as take a proactive approach in being team-oriented

• High attention to detail, outstanding organizational skills, and the ability to manage time effectively

• Analytical with strong problem-solving skills, takes initiative and uses good judgment, excellent follow-up skills

• Proactive in identifying accounting issues and providing solutions

Education & Prior Experience

• Previous data entry experience, ideally in an accounting office within a law firm

• Experience with accounting and conflicts database software, e.g. CMS, iManage

Technology

• Proficiency with Windows-based software, strong Excel preferred

• Exceptional computer skills with the ability to learn new software applications quickly
