Job description

JOB SUMMARY

The Executive Assistant provides high-level administrative and operational support within the Information Technology department and reports directly to the Senior Vice President (SVP) of IT. This role is critical to enabling the effectiveness of IT leadership by managing complex schedules, coordinating communications, supporting strategic initiatives, and ensuring smooth day-to-day operations across the department. The ideal candidate is highly organized, discreet, proactive, and comfortable operating in a fast-paced, executive environment. The position is a non-exempt full-time position open to both internal and external applicants.

QUALIFICATIONS

  • Bachelor's degree or equivalent combination of education and relevant experience (5+ years)
  • Strong proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, OneNote)
  • Excellent written and verbal communication skills with a professional executive presence
  • Demonstrated ability to manage competing priorities with accuracy and attention to detail
  • High degree of discretion and integrity in handling confidential and sensitive information
  • Strong organizational, time management, and problem-solving skills
  • Ability to take initiative and work independently and with other Executive Assistants in the company

ESSENTIAL JOB FUNCTIONS

  • Manage the SVP's calendar, including scheduling complex meetings with multiple stakeholders and time zones
  • Coordinate and prepare materials for meetings, leadership forums, and board or committee engagements
  • Serve as a liaison between the SVP, department leadership, business partners, and external contacts
  • Draft, review, and format executive-level communications, presentations, and reports
  • Create, compile, and disseminate periodic reports, committee reports, presentations, and other information.
  • Track key action items, follow up on commitments, and support execution of strategic initiatives
  • Assist with department planning activities, including budgeting, workforce planning, and vendor coordination
  • Support IT leadership meetings by preparing agendas, capturing notes, and distributing follow-ups
  • Make travel arrangements for department executives
  • Maintain and reconcile department credit card purchases

Benefits

WCF Insurance offers an extensive compensation package. Benefits include Medical, Dental, and Vision insurance, company paid life insurance, 401K with a generous 6% employer match and additional benefits such as an Employee Assistance Program and time off to volunteer. All employees earn 4 weeks of vacation their first year. The estimated starting hourly pay for this position is $28 - $42, depending on education and years of experience.

Internal candidates should have six months in their current position, acceptable job performance, and must notify their current supervisor that they've applied for the position.
