About Bremen Hospital

Community Hospital of Bremen is a 24-bed critical access hospital serving Bremen, Indiana, and the surrounding communities in Marshall and St. Joseph counties. As part of Beacon Health System, patients have access to providers, resources and services from across the entire health system. The hospital provides the community with: Emergency Department; diagnostic imaging and lab; radiology, including MRI, CT and ultrasound; general surgery; obstetrics; sleep lab; mammography; physical and occupational therapy; occupational health; swing bed services; and infusion therapy.

What You’ll Do 

As a Coordinator Access Services, you are responsible for assisting the Supervisor and Manager with daily operations and coverage of department activities. This position operates a variety of call systems to monitor call volumes, wait times, hold times, completion of calls, and documentation of calls. The Coordinator Access Services position reviews and documents call center data requests for the department. This position assists internal and external callers with escalated requests of routine and emergent natures and handles escalated communication center situations requiring a higher degree of reliability, flexibility, critical thinking skills.

Coordinator Access Services Job Responsibilities:

  • Support daily call center and facility operations by coordinating workflows, resolving service issues, and promoting a collaborative, customer-focused work environment.
  • Provide exceptional customer service by professionally greeting patients, answering incoming calls, and addressing inquiries in a timely manner.
  • Collaborate with leadership to resolve complex patient concerns, service issues, and operational challenges.
  • Assist with onboarding, training, competency validation, and ongoing support of call center staff.
  • Develop and distribute training materials, reports, and operational communications to support departmental effectiveness.
  • Monitor call center operations, staffing coverage, schedule adherence, and performance standards to ensure optimal service levels.
  • Maintain strong working relationships with medical offices, hospital departments, community agencies, and external stakeholders.
  • Identify process improvement opportunities and provide recommendations to enhance operational efficiency and customer experience.
  • Support equipment and technology management by maintaining inventories, coordinating repairs, troubleshooting issues, and facilitating equipment procurement.
  • Communicate operational, personnel, equipment, and compliance concerns to management and staff as appropriate.
  • Ensure adherence to organizational policies, departmental procedures, regulatory requirements, and service quality standards.
  • Participate in departmental meetings, mandatory education, competency assessments, and special projects as assigned.
  • Maintain flexibility to support departmental needs, including schedule adjustments and overtime as required.

As a Coordinator Access Services, this position requires well-developed communication skills to effectively interact with a variety of internal and external stakeholders while fostering positive working relationships. The individual must possess strong analytical and problem-solving abilities to address patient concerns, interpret data, and resolve day-to-day operational challenges in a timely manner. A working knowledge of both clinical and front office responsibilities is essential, along with proficiency in computer applications such as data entry, word processing, spreadsheets, and database systems. The role also requires strong administrative and organizational skills, including the ability to operate standard office equipment and manage multiple priorities efficiently. Knowledge of insurance payers and eligibility verification processes is necessary to support patient access and revenue cycle functions. Additionally, the candidate must demonstrate leadership skills that inspire cooperation and support among staff while maintaining proficiency in healthcare and office systems, including Allscripts, Cerner, referral databases, Excel, Word, and Outlook.

Required Qualifications 

  • The knowledge, skills and abilities as indicated are normally acquired through the successful completion of a high school diploma or equivalent; Patient Access experience or equivalent work experience of at least 3 years.
  • Previous medical office experience, ICD 10, CPT, online insurance eligibility or referral experience preferred.
