Sales & Event Planner
FastTrax Entertainment & HeadPinz Entertainment Centers | Southwest Florida
We're looking for a driven, organized, and results-focused Sales & Event Planner to grow group business across FastTrax Entertainment and HeadPinz Entertainment Centers.
This role combines business development, lead management, relationship building, and event coordination. You'll manage incoming event inquiries, follow up with potential clients, develop proposals, close bookings, and actively build new relationships throughout the Southwest Florida community.
From corporate outings and school events to fundraisers, team-building experiences, birthday celebrations, and full-facility buyouts, you'll guide clients through the entire process-from the first conversation through event execution.
What You'll Do
  • Respond to incoming event inquiries by phone, email, website submissions, and other lead sources
  • Qualify leads, recommend event packages, and guide clients through the booking process
  • Conduct outbound prospecting through calls, emails, networking events, local business visits, and community engagement
  • Build relationships with businesses, schools, nonprofit organizations, sports teams, youth groups, and community partners
  • Maintain an organized pipeline of leads, opportunities, follow-ups, and booked events in the CRM
  • Conduct on-site venue tours and off-site presentations
  • Create customized proposals based on client needs, group size, budget, and event goals
  • Negotiate event details and close group sales opportunities
  • Coordinate contracts, deposits, event timelines, menus, activities, and special requests
  • Communicate event details with operations, food and beverage, and management teams
  • Attend select events to support execution and maintain strong client relationships
  • Follow up after events to collect feedback and generate repeat business
  • Meet or exceed monthly booking and revenue goals
What We're Looking For
  • Two or more years of sales, hospitality, event planning, or business development experience preferred
  • Strong relationship-building, negotiation, and closing skills
  • Comfortable handling both inbound leads and outbound prospecting
  • Self-motivated with the ability to manage time and responsibilities independently
  • Excellent written, verbal, and presentation skills
  • Highly organized with the ability to manage multiple clients, events, and deadlines
