Hiring Inbound Operations Coordinator! (Hybrid Position)

Job Description

The Inbound Coordinator will manage the central inbound vendor inbox, which serves as the primary communication channel for over 450 active vendors. This role involves handling ASN status, inventory discrepancies, and inventory inquiries. This position in a work from home position but must be comfortable traveling to a few sites.

Responsibilities

  • Triage and resolve inbound exceptions promptly, including misdirected cartons, incorrect barcodes, quantity discrepancies, missing labels, and transit damage claims.
  • Coordinate between warehouse sites, third-party operations managers, and vendors to ensure exceptions are investigated and closed with clear root-cause documentation.
  • Act as the liaison between the company and its eight fulfillment center sites, tracking inbound appointment activity, escalating delays, and flagging risks before they become problems.
  • Monitor vendor compliance issues across the network, triggering escalation workflows and initiating chargebacks for repeat violations to ensure accountability is maintained systematically.
  • Track and report on key inbound KPIs such as exception rates, vendor compliance scores, and exception resolution cycle times.
  • Maintain SOPs and documentation for vendor-facing processes, ensuring materials remain current as policies evolve.
  • Identify patterns in inbound exceptions and escalate systemic issues like recurring vendor errors or site-specific problems to relevant teams with clear data.

Essential Skills

  • Experience in shipment, record keeping, warehouse inventory, logistics, and logistics management.
  • Proficiency in vendor management and vendor relationship maintenance.
  • Understanding of e-commerce and warehouse management systems (WMS).
  • Ability to track key performance indicators (KPIs) in warehouse shipping.

  • 2–4 years of experience in logistics, supply chain operations, vendor management, or a closely related field.
