WHAT YOU WILL DO:
We are seeking a highly organized and detail-oriented Order Management and Intake Project Coordinator to oversee the end-to-end intake process, ensuring efficient order flow, accurate data management, and seamless communication across stakeholders. Ability to improve workflows for better operational efficiency.
KEY RESPONSIBILITIES:
  • Order Management & Intake Coordination:
    • Manage the intake of new orders, ensuring accuracy and completeness.
    • Oversee the end-to-end order lifecycle, including processing, tracking, and fulfillment.
    • Liaise with customers, suppliers, and internal teams to resolve order discrepancies and delays.
    • Develop and implement structured processes for order tracking and reporting.
  • Stakeholder & Supplier Coordination:
    • Build strong relationships with suppliers and service providers to ensure reliable order fulfillment.
    • Collaborate with cross-functional teams, including procurement, logistics, and customer service.
    • Act as the primary point of contact for order-related escalations and inquiries.
  • Process Improvement & Data Management:
    • Utilize project management tools (e.g., Jira, Google Sheets, Microsoft Office) to optimize order intake workflows.
    • Identify inefficiencies and implement corrective actions to enhance processing speed and accuracy.
    • Analyze key performance indicators (KPIs) and create reports for leadership insights.
  • Project Coordination & Reporting:
    • Assist in planning and executing order management projects.
    • Develop structured action plans to improve intake operations.
    • Monitor order-related KPIs and provide timely updates to leadership.

ESSENTIAL CRITERIA:
  • Previous experience in order management, supply chain coordination, or project coordination.
  • Strong data management and reporting skills (Excel, Google Sheets, Microsoft Office).
  • Ability to negotiate and communicate effectively with suppliers and stakeholders.
  • Experience using project management tools (Jira or similar).
  • Strong problem-solving skills and a proactive approach to issue resolution.
  • Familiarity with KPIs, workflow optimization, and structured reporting.

DESIRED CRITERIA:
  • Experience with ISO standards and compliance.
  • Background in procurement or category management is a plus.
  • Strong analytical mindset with a focus on process efficiency.
