Job description

The Implementation Coordinator supports the Implementation Team in ensuring the successful onboarding of all new clients to Healthcare Highways. This role serves as a key contributor in coordinating all aspects of the implementation process for both new and existing clients.


The Implementation Coordinator works cross-functionally with multiple departments to gather and organize required information, ensuring a smooth and efficient onboarding experience. This role requires strong communication and presentation skills, along with the ability to effectively prioritize projects and manage competing deadlines in a fast-paced environment.


Roles & Responsibilities


  • Project Coordination & Timeliness: Support the planning and execution of implementation projects, ensuring all phases adhere to established timelines and budgets while meeting key deadlines. Monitor project progress and proactively address any delays or risks.
  • Implementation Support & Execution: Support onboarding of new and existing clients, including coordinating tasks, addressing process concerns, and ensuring smooth execution across systems and platforms.
  • Communication & Responsiveness: Maintain timely and professional communication, including acknowledging emails related to new client implementations or renewals within 24 hours. Create and distribute meeting agendas at least 24 hours in advance and provide detailed meeting notes within 24–48 hours following meetings.
  • Vendor & Notification Management: Ensure new group notifications and termination notices are communicated to vendors in a timely and accurate manner.
  • Issue Identification & Escalation: Identify, troubleshoot, and communicate technological, operational, or process-related issues. Escalate concerns to management promptly, including recommended solutions.
  • Collaboration & Cross-Functional Support: Work closely with internal teams to identify and resolve issues, support process improvements, and ensure alignment across departments.
  • Data & Systems Management: Create, organize, and maintain administrative files and databases, including accurate data entry and ongoing maintenance within systems such as Salesforce.
  • Quality & Detail Orientation: Demonstrate a high level of attention to detail and accountability, ensuring accuracy in all deliverables and documentation.
  • Decision-Making & Adaptability: Make timely, informed decisions based on available information while remaining flexible and open to learning new processes, tools, and skills.
  • Confidentiality & Compliance: Maintain strict confidentiality and ensure compliance with HIPAA requirements in all aspects of the role.
  • Team Contribution: Contribute to a collaborative team environment with strong interpersonal skills and the ability to effectively support and influence team outcomes.
  • Additional Responsibilities: Perform other duties and special projects as assigned.


Education & Qualification Requirements


  • Bachelor’s degree in Business Administration or a related field (or equivalent experience) preferred.
  • Minimum of 2 years of experience working in a corporate business environment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Working knowledge of implementation and project management processes.
  • Ability to set goals independently and drive results with minimal supervision.
  • Strong organizational skills with the ability to prioritize and execute tasks effectively in a high-pressure environment.
  • Demonstrated problem-solving skills and adaptability in a fast-paced setting.
