CRM Coordinator
At Salas O'Brien we tell our clients that we're engineered for impact. This passion for making a difference applies just as much to our team as it does to our projects. That's why we're committed to living our values every day: inspiring, achieving, and connecting as shared owners of our success with a focus on a sustainable future.
Building for the long-term means that all of our team members can expect to work on amazing projects with a people-first approach to problem solving. It also means that each member of our team has truly limitless potential to build a unique, meaningful, and high-impact career-and they'll receive great total rewards along the way.
About Us:
Founded in 1975, Salas O'Brien is an employee-owned engineering and professional services firm focused on achieving impact for our clients, our team, and the world. We know that tomorrow's requirements are today's opportunities, and we are here to design lasting solutions for pressing challenges.
We work across a variety of industries providing integrated engineering and consulting services. Our specialized experience includes design for data centers, healthcare, science and technology, high-rise buildings, clean energy, education, and other building types as well as structural and building sciences, infrastructure asset management, advanced robotics, and more.
Our technical expertise is paired with an exceptional team of business development, human resources, finance and accounting, information technology, and marketing professionals, all of whom play a key role in bringing our commitments to life every day.
Job Summary:
Salas O'Brien is seeking a proactive, solutions-oriented CRM Coordinator to support our firmwide marketing team. This role is responsible for maintaining and improving data within Deltek Vantagepoint while serving as a trusted resource for CRM users across the organization.
The ideal candidate is someone who enjoys solving problems, takes ownership of projects, works well in ambiguous situations, and is passionate about helping others successfully use CRM technology.
Responsibilities:
  • Maintain CRM data quality through audits, cleanup, and ongoing governance.
  • Take ownership of CRM projects and initiatives from planning through completion.
  • Investigate and resolve data and system issues independently, escalating when appropriate.
  • Provide day-to-day CRM support, troubleshooting, and guidance to users.
  • Develop and deliver user training, documentation, and best practices.
  • Support data imports, exports, migrations, and reporting.
  • Partner with marketing, business development, and operations teams to improve CRM processes and user adoption.
  • Identify opportunities to improve workflows, automate manual processes, and enhance the user experience.

Qualifications and Experience
  • Bachelor's degree or equivalent experience.
  • 2-5 years of experience supporting a CRM platform (Deltek Vantagepoint, Salesforce, HubSpot, Microsoft Dynamics, etc.).
  • Demonstrated ability to independently manage projects and prioritize work in a fast-paced environment.
  • Strong problem-solving skills with the ability to navigate ambiguity and drive work forward with minimal direction.
  • Excellent communication skills with experience supporting, training, and building relationships with end users.
  • Strong attention to detail and analytical skills.
  • Proficiency with Microsoft Excel; experience with Power BI or reporting tools is a plus.
  • Experience in the AEC industry and Deltek Vantagepoint is preferred but not required.

What Success Looks Like (First 6 Months)

Become a trusted resource by confidently supporting and training CRM users.
Maintain high-quality CRM data and deliver reliable reporting.
Identify opportunities to improve processes, increase efficiency, and leverage technology to enhance the CRM experience.
Build strong partnerships across marketing, business development, and operations through proactive communication and reliable execution.
