Job description

We are seeking a highly organized, detail-oriented Bookkeeper/Office Manager to join our team on a part-time (30 hours per week), hybrid basis. The ideal candidate will have strong accounting knowledge, exceptional organizational skills, and the ability to manage multiple priorities while providing outstanding support to both clients and internal staff.


Key Responsibilities

  • Manage all aspects of Accounts Receivable (A/R) and Accounts Payable (A/P)
  • Process customer invoicing, payments, and collections
  • Prepare monthly account reconciliations and assist with financial reporting
  • Support year-end accounting processes, including:
    • Preparation of 1099s
    • Collection and maintenance of W-9s
    • Year-end closeout activities
  • Process and manage AIA billing and construction-related invoicing
  • Maintain knowledge of federal contract billing systems, compliance requirements, and billing guidelines
  • Handle client billing inquiries, correspondence, and payment follow-up
  • Coordinate with vendors, subcontractors, and contractors regarding invoices, payments, and documentation
  • Maintain accurate financial records using QuickBooks Desktop
  • Assist with general office administration and day-to-day operational support
  • Organize electronic and paper filing systems
  • Perform additional bookkeeping and administrative duties as assigned


Qualifications

  • Minimum of 3-5 years of bookkeeping experience
  • Proficiency with QuickBooks Desktop is required
  • Strong understanding of Accounts Receivable, Accounts Payable, bank reconciliations, and general bookkeeping practices
  • Experience with year-end closing procedures, including 1099 and W-9 processing
  • Experience with AIA billing required
  • Knowledge of federal government billing systems and contract billing guidelines preferred
  • Strong collections and customer service experience
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office (Excel, Word, Outlook) and Google Workspace
  • Experience working with multiple software platforms and cloud-based applications
  • Strong organizational skills with exceptional attention to detail
  • Ability to prioritize tasks, meet deadlines, and work independently
  • Professional demeanor with excellent interpersonal skills
