Job description

HR Coordinator

We are seeking a proactive, resourceful and adaptable HR Coordinator to support a broad range of Human Resources functions, including recruitment, onboarding and offboarding, employee support, employee relations, compliance, HR administration and training coordination. The ideal candidate thrives in a fast-paced, dynamic environment, takes initiative, and can effectively manage multiple priorities while maintaining a high level of accuracy, professionalism and confidentiality. This role requires strong organizational skills, sound judgement and the ability to build effective working relationships with employees, managers and external partners.

Job Responsibilities
  • Recruitment and Talent Acquisition
  • Coordinate recruitment activities, including job postings, candidate screening, interview scheduling and hiring documentation.
  • Partner with hiring managers and staffing agencies to support hiring needs and deliver a positive candidate experience.
  • Maintain recruitment records, candidate tracking tools and hiring metrics.
  • Onboarding & Offboarding
  • Coordinate onboarding activities, including offer letters, new hire documentation, system access, equipment, badges and orientation.
  • Partner with cross-functional teams to ensure first-day readiness and a positive onboarding experience.
  • Coordinate offboarding activities, including documentation, asset recovery, exit processes and system access removal.
  • HR Operations & Employee Support
  • Serve as a point of contact for employee and manager inquiries regarding HR policies, procedures and programs.
  • Process employee data changes and maintain accurate employee records.
  • Support employee relations activities, investigations, employee engagement initiatives and HR programs.
  • Administer employee referral and other HR programs.
  • HR Systems, Reporting & Compliance
  • Maintain employee records and personnel files in accordance with company policies and record retention requirements.
  • Prepare and maintain HR reports and workforce metrics, including headcount, attendance, turnover, and recruitment activity.
  • Support audits, compliance activities, and adherence to company policies and employment regulations.
  • Coordinate training programs, maintain training records, and support payroll and timekeeping administration.
  • Identify opportunities to improve HR processes and administrative efficiency.
Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and experience. HR certifications (PHR, SHRM-CP, or equivalent) are an asset.
  • Minimum 3 years of Human Resources experience, including recruitment, onboarding/offboarding, employee relations, HR administration, and compliance.
  • Demonstrated ability to independently manage multiple HR processes and priorities with minimal supervision in a fast-paced environment.
  • Working knowledge of employment practices, employee lifecycle administration, HR systems and confidentiality requirements.
  • Experience with HRIS platforms (ADP preferred), applicant tracking systems, timekeeping systems and Microsoft Office applications.
  • Strong organizational, communication, problem-solving and decision-making skills.
  • Ability to handle sensitive and confidential information with professionalism, discretion and sound judgement.
  • Adaptable, resourceful and resilient, with the ability to navigate changing priorities in a dynamic environment.
  • Additional language skills, such as Vietnamese or Mandarin, are considered an asset.
