Sugar Bowl Resort is seeking a warm, organized, and customer/employee-focused HR Coordinator to join our people team. This is a full-time, year-round role designed for someone who wants to grow within a dynamic, independent mountain resort and make a lasting impact on the employee experience across all seasons of operation.

This is a highly visible, client-facing position. You will be one of the first points of contact employees encounter when they have a question, a concern, or need support; the professionalism, warmth, and accuracy you bring to those interactions directly shapes how our team feels about working here. You'll be embedded in the day-to-day rhythm of the HR office, working alongside the Senior HR Generalist and HR Manager to keep operations running smoothly across all functions.

Experience & Qualifications:

1+ year experience in HR, office administration, customer service, or a related support role; resort, hospitality, or seasonal workforce experience a plus

Familiarity with HRIS platforms (UKG Ready or similar) preferred; willingness to learn required

Basic understanding of HR processes, CA labor law, and employment documentation

Understanding of CA payroll and / or auditing processes is a plus

Strong written and verbal communication skills with a friendly, professional presence

High attention to detail and ability to manage multiple tasks simultaneously

Ability to handle sensitive employee information with discretion and confidentiality

Comfortable working in a fast-paced, high-volume environment with shifting priorities

Proficiency with Microsoft Office (Word, Excel, Outlook) or Google Workspace

Must be able to safely navigate winter resort conditions, including walking through snow to access the village office

What You'll do:

As the HR Coordinator, you are an essential and visible part of the HR team's daily operations - the connective tissue between employees and the programs, processes, and culture that support them. Your work spans onboarding and offboarding, employee support, compliance, systems integrity, and culture-building, all delivered with the care and professionalism our team deserves.

Onboarding & New Hire Support

Coordinate and facilitate new hire onboarding, ensuring all paperwork, I-9 verification, and system setup is completed accurately and on time

Prepare and distribute onboarding materials, assign welcome checklists, and orientation schedules

Serve as a point of contact for new employees during the onboarding process, answering questions and providing a smooth first-day experience

Track onboarding completion and follow up on outstanding documentation in UKG Ready

Assist with maintaining organized and audit-ready employee files (digital and physical)

Employee Questions & Inquiries - Support

Serve as the primary frontline HR contact for employees - in person, by phone, and by email - providing prompt, accurate, and genuinely helpful responses to questions about pay, benefits, policies, housing, passes, and general resort information

Deliver a consistently professional and welcoming experience in every employee interaction; you represent HR and, by extension, the resort's values in every touchpoint

Triage and escalate complex inquiries to the Senior HR Generalist or HR Manager, ensuring appropriate follow-through and communication back to the employee

Support HR communications including department announcements, policy reminders, and informational updates, ensuring messaging is clear, timely, and on-brand

Assist walk-in employees at the HR office with a customer-service mindset - no question is too small, and no employee should leave without feeling helped

Pass & Dependent Pass Administration

Administer the employee season pass and dependent pass program, including issuance, tracking, and maintaining accurate records

Process reimbursement requests in accordance with established program guidelines, coordinating with Guest Services as needed

Communicate pass policies clearly to employees and respond to related questions

Maintain organized records of all pass and reimbursement activity throughout the season

SOPs, Workflows & Process Improvement

Draft update, and maintain HR Standard Operating Procedures (SOPs) to ensure consistent, documented processes across all core HR functions

Support the development and refinement of HR workflows - identifying gaps, redundancies, or inefficiencies and proposing practical improvements

Assist in the documentation of recurring HR processes so that procedures are clear, repeatable, and accessible to the broader team

Participate in workflow audits and help ensure that processes align with current California labor law requirements, company policy, and operational best practices

Data Integrity & Compliance Audits

Maintain the accuracy and integrity of employee records in UKG Ready by entering status changes, verifying data, and conducting regular record reviews

Support periodic HR audits - including I-9 audits, file completeness reviews, and data validation - to ensure records are accurate, complete, and audit-ready at all times

Identify and resolve data discrepancies proactively, escalating issues to the HR Manager when appropriate

Assist with EDD and agency correspondence, including preparation of timely and accurate responses to unemployment insurance claims and state agency inquiries

Log and track all incoming and outgoing agency correspondence to ensure deadlines are met and nothing falls through the cracks

Culture, Values & Employee Recognition

Actively support Sugar Bowl's culture and values by modeling them daily and helping embed them into HR touchpoints - from onboarding language to recognition programs

Assist in the planning, coordination, and execution of employee recognition programs, appreciation events, and seasonal celebrations that reflect and reinforce the Sugar Bowl community spirit

Support the coordination of resort-wide employee events including seasonal kickoffs, milestone celebrations, and team-building activities

Contribute content, stories, and updates to the Bowl Wheel - Sugar Bowl's monthly resort-wide employee newsletter - helping keep the team informed, connected, and celebrated across all departments and locations

Partner with the HR team and department leaders to identify and amplify employee recognition moments and team wins throughout the season

Employee Housing Support

Support employee housing operations, including running background checks for housing applicants and maintaining data integrity in housing records

Coordinate laundry services for employee housing facilities

Serve as a point of contact for minor housing-related issues, including conflicts between residents and general housing needs, providing consistent and timely responses

Answer employee questions about housing policies and procedures with accuracy and consistency

Other duties as assigned related to employee housing

Uniforms Support

Manage uniform check-out and check-in for employees

Maintain accurate uniform inventory, including both physical counts and records in the Salesforce database

Coordinate uniform laundry, including liaising with outsourced laundry vendors

Maintain working knowledge of the Salesforce system as it relates to uniform tracking and inventory

Other duties as assigned related to uniforms

HR Operations & Office Support

Assist with day-to-day HR office functions including filing, mail handling, form processing, and general administrative support

Support the planning and execution of job fairs, recruiting events, and community outreach as needed

Participate in cross-functional projects and support reciprocal HR programs as assigned
