Role Definition
The HR Coordinator supports and executes essential HR processes that ensure a smooth and compliant employee lifecycle experience. This role manages the hiring and onboarding of hourly and other assigned positions. The HR Coordinator provides advanced administrative, recruiting and training support while coordinating onboarding, orientation and training logistics, HR systems data integrity, and employee documentation. The HR Coordinator plays a critical role in delivering a high-quality employee and candidate experience. This role profile is subject to change at any time.

TOP 5 ROLE RESPONSIBILITIES:
Recruitment Coordination
  • Lead recruiting efforts for assigned roles, including sourcing, screening, interviewing, and selection.
  • Partner with managers to define staffing needs and hiring strategies to attract candidates.
  • Maintain job descriptions; assist in clarifying and/or reclassifying positions as needed.
  • Support registration and attendance of career fairs and other recruitment events.
  • Represent Keen in various recruiting events and conferences.
  • Processes employment applications and helps generate appropriate correspondence to applicants
  • Provide backup support to the HR Generalist for key tasks, such as interview coordination and candidate communication.
  • Assist with tracking recruiting metrics and campus events.

Onboarding and Orientation Coordination
  • Manage the onboarding process from strategy to execution.
  • Conduct new hire orientations, assist with workstation setup, and facilitate new hire announcements.
  • Prepare new hire paperwork, conduct background checks and eligibility verifications, and ensure onboarding compliance.
  • Ensure prospective and new employees have a positive experience.

HR Administration & Records Management
  • Handle confidential information with strict discretion.
  • Maintain accurate employee personnel files and training records.
  • Ensure HRIS and LMS data accuracy.
  • Answer routine questions on human resources procedures and benefits.
  • Identify opportunities to streamline administrative processes.

Training & Development Support
  • Support the organization's talent development strategy through coordination with Keen University Steering Committee.
  • Coordinate with internal and external trainers to ensure setup of training spaces and assist in preparing any materials needed.
  • Coordinate training sessions, calendars, and logistics.
  • Coordinate vendors and external training partners.
  • Maintain accurate records of employee training, including attendance, certifications, and completion dates.
  • Input data into the Learning Management System (LMS) or HRIS to track training history and certifications.
  • Serve as knowledge expert for the LMS.
  • Assist in preparing training materials and resources.

Employee Engagement & Event Coordination
  • Execute employee engagement initiatives and culture-building activities aligned with company priorities through the Keen Cares Committee.
  • Assist with employee recognition programs and internal celebrations.
  • Provide administrative support for engagement initiatives.

Other Duties
  • Provide backup support to the HR Generalist.
  • Develop positive, collaborative and effective working relationships with all employees.
  • Coordinate onboarding experience to promote early engagement and successful integration.

EDUCATION AND QUALIFICATIONS
  • Associate's degree in business administrationor equivalent experience. Bachelor's degree preferred.
  • Two to three years' experience in an HR and/or recruiting role.
  • Ability to multi-task, organize and prioritize.
  • Effective communication skills including verbal, written and presentation skills.
  • Handle daily situations with respected confidence and composure.
  • Ability to set and meet deadlines.
  • Travel up to 5% or as needed.

PHYSICAL DEMANDS
  • Sedentary strength demands include exerting up to 10 pounds occasionally or negligible weights frequently; sitting most of the time.
  • Continuously requires vision, hearing, twisting, and talking.
  • Frequently requires standing, fine dexterity, sitting, and handling.
