SUMMARY: The  HRIS  Coordinator, reporting to the Manager of HR Operations, is responsible for supporting the day-to-day maintenance of HR data and systems, ensuring the accuracy, integrity, and timely processing of associate data throughout the employee lifecycle. This role serves as the operational owner of routine HR transactions, including onboarding, job changes, organizational updates, transfers, and terminations, while maintaining compliance with Company policies and established procedures. 

Working closely with Talent Acquisition, Payroll, HR Business Partners, managers, and the HRIS team, the HRIS Coordinator ensures employee data is accurately maintained, business processes are consistently executed, and HR systems support efficient and reliable HR operations. This role also assists with data audits, system testing, reporting, and continuous process improvement initiatives. 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: Every effort has been made to identify the essential functions and skills of this position. HRIS Administration 

  • Maintain accurate associate records within Oracle HCM and related HR systems.  
  • Process employee lifecycle transactions including new hires, rehires, promotions, transfers, organizational changes, compensation updates, status changes & separations  
  • Review transactions for completeness and accuracy before processing.  
  • Troubleshoot HRIS issues and coordinate resolution with HRIS team members when appropriate.  

Onboarding & Employee Lifecycle Support 

  • Coordinate HR onboarding activities in partnership with Talent Acquisition and Hiring Managers.  
  • Ensure completion of pre-employment and onboarding requirements, including I-9 verification and required employment documentation.  
  • Monitor onboarding workflows to ensure timely completion of required tasks.  
  • Support offboarding activities, ensuring timely processing of employee separations and associated system transactions.  
  • Coordinate employee lifecycle communications related to status changes and organizational updates.  

Data Integrity & Auditing 

  • Perform routine audits of HR data to ensure completeness, accuracy, and compliance.  
  • Identify data discrepancies and coordinate corrective actions.  
  • Maintain high standards of data integrity across Oracle HCM and related HR systems.  
  • Support payroll audits and reconciliation activities by validating HR data prior to payroll processing.  
  • Assist with internal and external audit requests by preparing reports and documentation.  

System Support 

  • Serve as a first point of contact for routine HRIS questions from HR staff and managers.  
  • Assist with testing Oracle HCM enhancements, upgrades, and new functionality.  
  • Validate system configurations and business process changes during testing cycles.  
  • Document testing results and report issues to the HRIS team.  
  • Support implementation of new HR technology initiatives as assigned.  

Reporting & Analytics Support 

  • Prepare standard HR reports and data extracts.  
  • Assist HR leadership with recurring workforce reports and operational metrics.  
  • Validate report accuracy prior to distribution.  
  • Support data requests from Payroll, Benefits, Talent Acquisition, Finance, Compliance, and HR leadership.  

Process Improvement 

  • Recommend improvements to HR operational workflows and system utilization.  
  • Assist with development and maintenance of standard operating procedures.  
  • Identify opportunities to automate manual processes.  
  • Support documentation of HR business processes and system procedures.  

Customer Service 

  • Provide timely, professional support to associates, managers, and HR team members regarding HR transactions and system-related inquiries.  
  • Escalate complex policy or system issues to appropriate HR or HRIS resources.  
  • Maintain confidentiality of employee information.  

May perform other duties as assigned. 

EDUCATION: 

 Associate's degree in Human Resources, Business Administration, or a related field required; Bachelor's degree preferred.  

Equivalent combination of education and relevant experience may be considered. 

EXPERIENCE & SKILLS: 

  • Minimum 2 years of Human Resources, HRIS, Payroll, or related experience 
  • Experience processing HR transactions within an HRIS 
  • Experience maintaining confidential employee information 
  • Strong attention to detail and commitment to data accuracy 
  • Experience working with Microsoft Excel, including sorting, filtering, formulas, and pivots 
  • Excellent organizational and time management skills 
  • Strong customer service and communication skills 
  • Ability to manage multiple priorities while meeting deadlines 
  • Ability to learn new systems and technology quickly 
  • Working knowledge of HR data management and reporting 
  • Experience with Oracle HCM, Workday, or other HR management system preferred 
  • Experience supporting HR audits, HRIS testing and implementations preferred 
  • Experience documenting business processes or standard operating procedures preferred
