In Short:
The Scale House & Order Coordinator is responsible for managing scale house operations, accurately weighing trucks and processing shipment paperwork, providing exceptional customer service, assisting the sales department with order entry. This position serves as a primary point of contact for customers, truck drivers, shipping loader operators, and sales staff to ensure accurate and efficient documentation, order processing, shipments, and daily operations.
Essential Duties and Responsibilities
Scale House Operations
  • Operate truck scale system for inbound and outbound loads.
  • Accurately weigh trucks, issue and record scale tickets.
  • Verify load information, weight, material types, quantities, and customer information.
  • Ensure compliance with company safety policies and site procedures.
  • Direct truck drivers to designated loading and unloading areas
  • File and maintain records related to orders, shipments, and scale transactions.
  • Resolve weight and order discrepancies and documentation issues in a timely manner.
  • Communicate effectively with drivers, shipping loader operators, operations and sales staff to ensure accurate and timely order fulfillment.
  • Maintain a clean and organized scale house environment.

Order Entry & Customer Service
  • Greet & Provide exceptional service to visitors, customers, vendors, and drivers.
  • Answer phones and direct inquiries appropriately
  • Enter customer sales orders accurately into the company ERP system.
  • Verify pricing, product specifications, freight requirements, and delivery schedules.
  • Generate invoices, delivery tickets, and related sales documentation.
  • Process customer payments and maintain accurate transaction records when applicable.
  • Support sales staff with order entry and administrative tasks.
  • Perform other general office and administrative duties as assigned.

Qualifications
  • High school diploma or equivalent required.
  • Previous experience in scale operations, dispatch, logistics, customer service, order entry, or administrative support preferred.
  • Proficiency with Microsoft Office applications and ERP/order management systems.
  • Strong data entry skills with a high level of accuracy.
