Pay Range: $75,000 – $85,000 annual salary + performance bonus

Schedule: Monday–Friday, 8:30 AM–5:30 PM | Occasional evenings for Board meetings

Reports To: General Property Manager / Portfolio Manager

About This Role

This is not a standard property management role, so we're not looking for a standard candidate.

The Novus is a mixed-use high-rise in Durham, NC, combining 54 condominium residences, 20,000+ square feet of retail space, 188 apartment homes, and an amenity program built for activation. You will assist in the management of the condominiums and retail components as the leader held accountable for the building's operations, governance, and community experience.

Throughout any given week, you will need to prioritize a wide range of responsibilities, which could include preparing board meeting materials for condo owners, resolving a maintenance issue with a retail tenant, or executing a community event that draws residents and neighbors into the building's common spaces. You will serve a board with fiduciary duties, commercial tenants with business expectations, and a developer-owner who cares about placemaking. You'll need to shift registers fluently and never lose your composure.

What You'll Own

Condominium / HOA Association Management

  • Serve as the primary coordinator for all association operations, ensuring contractual obligations are met and exceeded
  • Assist the Board in establishing short- and long-term goals; lead preparation and presentation of the annual budget
  • Secure competitive bids for Board approval; schedule and oversee contracted services for cost and quality effectiveness
  • Inspect the property regularly for maintenance needs, landscaping, policy violations, and safety issues; follow up to completion
  • Evaluate the need for significant repairs or capital work and make formal recommendations to the Board
  • Prepare violation and enforcement letters per Board direction; maintain consistent, fair enforcement of CC&Rs
  • Attend all regularly scheduled Board meetings; collaborate with association committees on contracted services and community priorities
  • Ensure compliance with NC Condominium Act (Chapters 47C/47F), Chapter 55A, and all governing documents
  • Manage assessment billing, delinquency tracking, and reserve fund activity in coordination with the accounting team
  • Maintain accurate records, Board minutes, and owner communications with professionalism and timeliness
  • Produce special assessments, reconciliations, and budget recommendations

Retail & Commercial Operations

  • Serve as the day-to-day point of contact and operational liaison for 20,000+ SF of retail tenancy
  • Monitor lease compliance, track certificates of insurance, and manage tenant onboarding and move-out coordination
  • Maintain strong tenant relationships - proactive communication, rapid issue resolution, and a consistent landlord presence
  • Coordinate maintenance and capital work affecting retail spaces in partnership with Kane Management
  • Maintain accurate landlord records, lease files, and documentation in support of ownership and asset reporting
  • Escalate lease compliance issues and support Kane Management team on matters requiring legal or financial review

Community Activation & Events

  • Develop and execute an annual events calendar that activates common spaces and deepens the connection between residents, retail, and the surrounding community
  • Manage all event logistics end-to-end: concept, vendor coordination, permitting, budget management, execution, and recap
  • Track event participation and resident engagement; use data to improve programming over time

Operations & Administration

  • Maintain all property records, vendor contracts, and management reports with accuracy and discipline
  • Manage preferred vendor relationships and ensure service delivery meets standards for both the association and retail tenants
  • Respond to owner, tenant, and Board inquiries with urgency and professionalism
  • Work within Yardi for work orders, reporting, financial tracking, and resident/owner communications
  • Support KRES leadership with operational data, property reporting, and budget variance explanations
  • Willingness to assist in leasing efforts as needed

What You Bring

Required

  • Active NC Community Association Manager (CAM) License - required per NC GS 93A
  • CMCA certification, or commitment to obtain within 60 days of hire - required at this compensation level
  • 2+ years of COA or HOA management experience, including direct Board meeting responsibility
  • Demonstrated familiarity with NC Chapters 47C, 47F, and 55A; ability to read and interpret Declarations and Bylaws
  • Strong financial acumen: ability to prepare budgets, read monthly financials, and explain variances to a Board
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint) and Yardi property management software
  • Flexible schedule to accommodate evening Board meetings as needed
  • Exceptional verbal and written communication skills across multiple stakeholder types simultaneously
  • Ability to work on site

Preferred

  • CAI designations (AMS, PCAM)
  • Experience managing post-developer-turnover HOA/COA Boards
  • Commercial or retail property management experience
  • Events programming, hospitality, or community activation background
  • Experience in a mixed-use, high-rise, or urban residential setting
