Property Manager - HOA Portfolio Management
Location: Hybrid - Encino, CA

Full Job Description

We are seeking an experienced Property Manager to oversee an existing portfolio of condominium, townhouse, and PUD communities.

ResponsibilitiesProperty Portfolio Management
  • Manage the day-to-day operations of a portfolio of properties

  • Conduct monthly inspections and document property conditions

  • Identify required maintenance and repair work

  • Schedule and coordinate routine maintenance

  • Create scopes of work for projects and repairs

  • Source, vet, and manage vendors

  • Solicit bids and present recommendations for approval

  • Evaluate vendor performance, pricing, and efficiency

  • Perform post-project inspections for repair and capital improvement projects

Board Relations & Administration
  • Assist with Board election procedures and voting processes

  • Coordinate Special Assessment balloting procedures

  • Prepare Board meeting packages and reports

  • Attend evening Board meetings (monthly or quarterly)

  • Take and transcribe meeting minutes when requested

  • Respond promptly to Board requests and communications

  • Support the Board with meeting management and compliance guidance

  • Advise on California Civil Code and Davis-Stirling Act compliance

  • Coordinate with legal counsel regarding HOA legal matters

Homeowner Relations
  • Respond to homeowner inquiries within 24 hours via phone and email

  • Handle maintenance requests and emergency situations

  • Draft letters, notices, and HOA communications

  • Issue warning and hearing notices for violations

  • Review HOA governing documents to address homeowner concerns

  • Assist in resolving disputes between homeowners and the HOA

Qualifications & Skills
  • Minimum 3 years of HOA property management experience

  • Strong knowledge of the Davis-Stirling Act and CA Civil Code

  • Associate degree required; Bachelor's degree preferred

  • HOA management certification required (CCAM, CMCA, AMS, or PCAM)

  • Proficient in Microsoft Office and Google Suite

  • Strong multitasking and organizational abilities

  • Excellent written and verbal communication skills

  • Detail-oriented with strong follow-through

  • Basic financial and budgeting knowledge

  • Positive attitude and professional demeanor
