Responsibilities

Supervises the daily operations of the Health Information Management Department, including but not limited to; personnel management, record integrity, workflow, turnaround expectations, development, maintenance and compliance with policies and procedures. Has responsibility for the clerical operations for the centralized HIM department for all hospital based departments and hospital facilities. Collaboratively works with members of leadership throughout the organization.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Assists the HIS Manager, with ensuring the legal medical record is created and maintained in accordance with established policy and procedures.
  • Manages the daily operations of the operations and/or customer service team including time keeping, PTO requests, job aides, and scheduling.
  • Demonstrates the ability to assess, plan, implement procedures, policies and process in order for the HIM functions to be efficient and outcome driven.
  • Demonstrates the ability to train, coach, complete performance evaluations and manage associates to peak performance.
  • Communicates with Leadership any obstacles, regulatory challenges and system deficiencies that prevent HIM from meeting goals, budget or regulations.
  • Demonstrates the ability to compile data and produce reports for process improvement, productivity monitoring, turnaround times and others as needed.
  • Demonstrates the ability to communicate effectively, ensuring understanding of the information and instruction.
  • Monitors, analyzes and develops actions plans to ensure the discharged not final billed is within established goals.
  • Works collaboratively with other managers in HIM, as needed.
  • Facilitates chart completion through analysis and suspension procedures.  Prepares reports as appropriate for accountability to medical staff including physician case log certifications.
  • Maintains up to date and accurate policies and procedures related to operations and record integrity.
  • Demonstrates the ability to identify opportunities for improvement and work with appropriate staff and management to provide and implement the most efficient process.
  • Demonstrates the ability to solve problems with associates, physicians, other departments and customers, chart errors and amendments.
  • Ensures that policies and procedures, processes and outcomes are compliant with various regulations related to medical records and the release of protected health information.
  • Serves as a resource expert for technology used in the department, which includes testing, training and vendor management.
  • Presents with a professional demeanor at all times and in all correspondence.
  • Demonstrates the ability to perform special projects as assigned by the Leadership.
  • Qualifications

    KNOWLEDGE SKILLS AND ABILITIES/LICENSE OR CERTIFICATION REQUIRED

  • RHIT, with one year supervisory experience in HIS, OR three years experience in a supervisory healthcare setting.
