Job description

Tradewind Flight Services is seeking a motivated and detail-oriented Front Desk / Data Entry Specialist to support operations at Hanscom Air Force Base in Bedford, Massachusetts. This position serves as the face of the office, providing professional administrative and customer service support to military personnel, contractors, and civilian staff. The ideal candidate will be organized, dependable, and capable of managing multiple tasks in a fast-paced government environment. This is a full-time position requiring on-site presence at Hanscom AFB.
Responsibilities:
  • Greet and assist visitors, military personnel, contractors, and staff at the front desk in a professional and courteous manner
  • Answer and direct incoming phone calls, take accurate messages, and respond to general inquiries
  • Perform accurate and timely data entry into government and contractor databases and spreadsheets
  • Maintain and update physical and electronic filing systems, records, and logs
  • Prepare, proofread, and distribute correspondence, forms, and administrative documents
  • Manage office supply inventory and coordinate procurement of supplies as needed
  • Support scheduling and coordination of meetings, appointments, and conference room reservations
  • Process incoming and outgoing mail, packages, and deliveries
  • Assist with onboarding documentation and visitor access coordination
  • Maintain confidentiality and adherence to all base security protocols and policies
  • Perform other administrative duties as assigned by the program manager or site lead
Qualifications:
  • High school diploma or GED required; associate degree or higher preferred
  • Minimum of 1–2 years of experience in administrative, clerical, or data entry roles
  • Strong attention to detail with a high degree of accuracy in data entry tasks
  • Excellent written and verbal communication skills
  • Ability to work independently and as part of a team in a structured government environment
  • Strong organizational and time management skills
  • Familiarity with office procedures and professional workplace conduct
  • Ability to obtain and maintain required base access and security credentials
  • Must be punctual, reliable, and professional in appearance and demeanor
Requirements:
CAC: Required – Must be able to obtain a Common Access Card (CAC)
Security Clearance Tier: Tier 1 – Public Trust (ability to obtain)
Citizenship: Must be a U.S. Citizen
English Proficiency: Must be fully proficient in reading, writing, and speaking English
Computer Systems Experience: Experience with standard office computer systems required; familiarity with government systems a plus
Microsoft Suite Proficiency: Proficient in Microsoft Word, Excel, Outlook, and PowerPoint required
