We are seeking a detail-oriented and customer-focused Equipment Rental Coordinator to support all phases of the rental process from the initial inquiry through equipment return. In this fast-paced, service-driven role, you will ensure rental contracts are completed accurately and efficiently, coordinate scheduling and dispatch, and maintain up-to-date records of rental inventory and assets. By partnering closely with service, yard, delivery, and our sales teams, you will help ensure equipment readiness, timely deliveries, and an exceptional customer experience.
Your proactive communication, strong organizational skills, and solution-focused mindset will directly contribute to customer satisfaction, operational efficiency, and overall rental sales success.
Key Responsibilities:
  • Provide exceptional customer service to customers and partners in person, by phone, and via email.
  • Create, update, and maintain accurate rental contracts and documentation in the computer system.
  • Coordinate rental reservations, scheduling, dispatching, deliveries, pickups, and returns.
  • Track and manage rental inventory, equipment availability, asset utilization, and equipment status in real time.
  • Monitor all rented equipment, including delivery timing, usage duration, condition, and return quality.
  • Educate customers on equipment features, specifications, safety considerations, and proper operation.
  • Identify customer needs and promote positive, solution‑focused experiences that support repeat business.
  • Assist with logistics planning, routing, scheduling, and prioritizing equipment based on customer demand.
  • Maintain compliance with company policies, safety procedures, and proper documentation standards.
  • Contribute to continuous improvement by reporting process gaps, customer insights, and operational efficiencies.
  • Partner closely with service, yard, and delivery teams to ensure equipment is prepared, maintained, and delivered on time.
  • Support outside sales by coordinating customer needs, providing product information, and facilitating smooth handoffs.

Required Qualifications:
  • High School Diploma or equivalent.
  • Valid driver’s license required.
  • 1–3 years of experience in customer service, rental operations, administrative support, or a related field.
  • Strong customer service and communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Basic computer proficiency and ability to learn rental management software systems.
  • Problem-solving skills with a proactive, solution-oriented approach.
  • Team-oriented mindset with the ability to collaborate across departments.

What Sets You Apart:
  • Prior experience in equipment rental, construction, or logistics with a sales or customer service focus preferred.
  • Experience using rental management or ERP systems (e.g., Point of Rental) preferred.
  • Background in dispatching, scheduling, or logistics coordination preferred.
  • Familiarity with DOT regulations related to equipment delivery and transport.
  • Experience in sales support or inside sales, ideally within a business-to-business environment.

  • Strong negotiation or upselling skills to support rental sales growth.
  • Experience working in a fast-paced service, rental, or operations environment.
  • Knowledge of common construction and material-handling equipment, including specifications, attachments, and safe-use guidelines.
