Job description


Position Summary:
The Graduate Program Coordinator manages admissions, student communications, recruitment, events, and administrative operations for graduate programs in the Department of Ecosystem Science and Sustainability (ESS). ESS administers eight graduate programs: four research-based degrees (MS and PhD in Ecosystem Sustainability; MS and PhD in Watershed Science), one professional master's program (PSM in Ecosystem Science and Sustainability), and three graduate certificates (Carbon Management, Water Resources, and Environmental Data Science).
This position provides essential support across all programs, including prospective student recruitment and communications, admissions processing, new student onboarding, event coordination, and registration and university form assistance. The Graduate Program Coordinator leads these functions and may contribute to additional departmental needs such as course scheduling, instructor and GTA hiring coordination, staff meeting support, and marketing and communications.

Essential Job Duties:
  • Graduate Admissions and Recruitment: Manage the graduate admissions process, including prospective student communications, recruitment events, and support for faculty and admissions committees.
  • Graduate Student Support: Assist enrolled students with onboarding, registration, curriculum questions, and university forms and deadlines.
  • Outreach and Alumni Relations: Support recruitment outreach and alumni engagement as part of ESS's collaborative outreach efforts across staff and faculty.
  • Event Coordination: Plan and coordinate departmental events, including orientation, community-building activities, faculty meetings, and seminars.
  • Other Related Duties: Contribute to other department tasks as needed, including course scheduling and coordinating instructor and GTA hires.

Minimum Qualifications:
  • Bachelor's degree.
  • 2-3 years of administrative, program coordination, or student services experience.

Preferred Qualifications:
  • Familiarity with CSU systems, including Aries, Slate, Scait, Kuali, course scheduling, and HR procedures.
  • Experience with MS Office (Word, Excel, PowerPoint, Teams), calendar management, and meeting coordination.
  • Experience with event coordination, including scheduling, advertising/promotion, and implementation.
  • Experience with marketing to prospective students and engagement with alumni, including managing mailing distribution lists.
  • Prior experience interacting with diverse student groups, staff, and faculty.
  • Background in higher education with knowledge of academic policies and procedures.
  • Communication skills and ability to work collaboratively.
  • Experience managing tasks independently and adapting to shifting priorities.

Salary Range
$50,000 - $70,000
