The Department of Economics and Business at Colorado School of Mines is seeking a highly organized, proactive Administrative Assistant III to serve as the operational hub of our department. Our faculty, staff, and students contribute to teaching, research, and service initiatives that advance the mission of Colorado School of Mines. What You'll Do Office & Operational Coordination (55%) As the department's primary administrative professional, you will coordinate and support a wide variety of operational activities that enable faculty, staff, and students to succeed. Key responsibilities include: Serve as the first point of contact for students, faculty, staff, and visitors, providing exceptional customer service and directing inquiries appropriately.
Coordinate office operations, administrative processes, and departmental workflows. Manage calendars, meeting logistics, conference room scheduling, and shared department spaces. Coordinate faculty, staff, student, and visitor travel arrangements and reimbursements.
Maintain departmental records, databases, communications, and websites. Process purchasing, supply orders, expense reports, and other administrative transactions. Assist with faculty searches and onboarding activities.
Coordinate communication efforts, including newsletters, announcements, marketing materials, and social media content. Maintain departmental facilities, common spaces, office supplies, and operational resources. Support department leadership with special projects, reporting, and administrative initiatives.
This position requires strong organizational skills, sound judgment, attention to detail, and the ability to manage multiple priorities in a busy and highly collaborative environment. Event & Program Coordination (35%) In addition to administrative operations, you will support a variety of departmental events throughout the academic year. Examples include: Guest lectures and speaker series Student recruiting and advising events Workshops and seminars Advisory board meetings Department celebrations and recognition events Graduate program programming Responsibilities include: Coordinating logistics, scheduling, catering, and event materials.
Reserving and preparing event spaces. Working with vendors, campus partners, faculty, and student groups. Assisting with event setup, execution, and wrap-up activities.
Supporting guest speakers and visitors with travel and hospitality arrangements. Troubleshooting day-of event needs and ensuring a positive participant experience. While event coordination is an important aspect of the role, it is one component of a broader administrative and operational support position.
This role requires frequent movement, standing, lifting, and active engagement during events. What Will Make You Successful Successful candidates will demonstrate: Strong administrative and office coordination experience. Exceptional organizational and time-management skills.

Physical & Work Environment Expectations This role includes a meaningful physical component as part of event delivery: Frequent standing and walking during events Setting up rooms, moving materials, and coordinating physical logistics Occasional lifting/carrying of event supplies (generally light to moderate weight) Please note: This position reports to campus Monday - Friday 8:00am - 5:00pm, with occasional evening event support. OR Education and Experience: A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years

Must have excellent organizational skills with the ability to prioritize tasks, make decisions independently and provide on-the-spot answers to administrative questions that arise. Must have excellent judgment and discretion and be able to work confidentially with sensitive and protected information.
