EHR Software Assistant 


The EHR Software Assistant enhances organizational operations by supporting Epic system administration, delivering user training, managing third-party integrations, providing administrative and technical assistance for third-party software, and offering frontline IT troubleshooting. This role ensures staff have the access, tools, and guidance needed to perform their duties effectively while maintaining system integrity, compliance, and smooth technical operations. The position also provides direct support to the Senior EHR Software Specialist in daily functions, projects, and organizational initiatives. 


This is a Non-Exempt position.


Key Responsibilities
Epic System Support & Training
  • Assist in providing Epic training for new hires, including workflow orientation and role-specific system use.
  • Assign Epic security settings based on job role, responsibilities, and departmental needs within the Epic Intake App and Epic U platform
  • Work with HR to update names, credentials, employee access, and terminations in the Epic Intake App.
  • Assist new and existing employees with Epic login issues and access troubleshooting.
  • Review, triage, and resolve Epic tickets in Freshdesk; escalate to CTC support when necessary.
  • Perform patient account merges in Epic in accordance with established protocols.
  • Troubleshoot basic Epic issues and provide staff with tip sheets, user guides, and hands-on support.
  • Build and maintain provider templates in Epic.
  • Set up providers with AI Scribe tools, monitor licensure usage, and track training completion.
  • Participate in CTC Epic focus groups and communicate organizational needs.
  • Prepare agendas and take detailed notes for Epic-related meetings and focus groups.
  • Create and maintain SOPs, training materials, and user documentation.
  • Assist with maintaining the Epic folder structure and documentation within Google Drive.
  • Other duties as assigned


Direct Support to Senior EHR Software Specialist
  •  Provide day-to-day operational support to the Senior EHR Software Specialist.
  • Assist with project coordination, system updates, training initiatives, and workflow optimization.
  • Support communication efforts, documentation development, and follow-through on Epic-related tasks.
  • Collaborate on system improvements, data integrity efforts, and cross-departmental initiatives.


Third-Party Systems & Integrations
  •  Assist in managing Apteryx accounts for dental users, including password resets and access troubleshooting.
  •  Support Epic interfaces and third-party integrations with assistance from CTC.


General IT & Help Desk Support
  • Provide supplemental support to the HCCH Help Desk as needed.
  • Assist with resolving basic software, access, and workflow issues across the organization.
  • Collaborate with IT leadership to support system improvements, training initiatives, and operational efficiency.



Requirements

Qualifications & Skills
  • Strong technical troubleshooting, critical thinking, and problem-solving abilities.
  •  Ability to create clear, user-friendly training materials and SOPs.
  •  Excellent communication, documentation, and customer service skills.? Ability to manage multiple priorities and meet deadlines.
  •  Familiarity with healthcare operations, compliance, and reporting workflows is a plus.
  • Limited travel to HCCH Sites may be required as needed? Experience with Microsoft and Google applications required
  • Familiarity with computer hardware and software components preferred
  •  High school diploma or equivalent required, 2-year degree preferred
  • Healthcare, clinical, medical records, quality, HIM, abstraction, or EHR-related experience preferred
  • Experience working within Epic, eClinicalWorks (eCW), or other electronic medical record systems preferred
  • Experience with chart abstraction, template building, quality reporting, or data reconciliation preferred
  • Knowledge of healthcare terminology and clinical documentation preferred
