Job Overview


We are seeking a highly organized and professional Office Assistant to serve as the front-line representative of our practice. This role is critical to client experience and operational efficiency, requiring strong attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced clinical setting.


This is anon-site position; candidates must reside locally.


Key Responsibilities


  • Serve as the first point of contact for clients, delivering a professional and welcoming experience
  • Answer and route incoming calls with accuracy and professionalism
  • Maintain and update electronic health records (EHR), including platforms such as SimplePractice
  • Support insurance billing processes, including claim submission and follow-up
  • Coordinate scheduling for clients and clinical staff
  • Manage client intake, onboarding, and enrollment processes
  • Maintain organized digital and physical filing systems
  • Provide general administrative support to ensure smooth daily operations
  • Uphold a clean, organized, and professional office environment


Required Qualifications


  • Proficiency in Microsoft Office (Word, Excel)
  • Proficiency with Apple-based systems and applications
  • Experience using Google Workspace (Docs, Drive, etc.)
  • Strong organizational, multitasking, and time-management skills
  • Excellent written and verbal communication skills
