Job description

The Senior Coordinator, Global Marketing Operations supports the Print Production and Physical Logistics functions within the Global Marketing Operations organization while providing broader operational support across the department. Because theatrical print production and physical logistics are driven by immovable release deadlines, operational support for those functions is the primary responsibility and takes priority over other assignments. The role also partners with the Senior Manager, Global Marketing Operations on department-wide operational initiatives, reporting, invoice processing, workflow automation, and special projects.

Responsibilities

Print Production & Physical Logistics (Primary Responsibility):

  • Coordinate end-to-end physical print/static digital production and physical logistics workflows for theatrical marketing campaigns.
  • Manage production schedules, delivery timelines, and shipment tracking while communicating status to stakeholders.
  • Coordinate with Creative, Media, Publicity, Exhibitor Relations, Finance, Legal, adaptive creative vendors, print vendors, and logistics providers.
  • Support special events, trade shows, awards campaigns, and other high-priority marketing initiatives.
  • Maintain production records, proofs, shipment documentation, and campaign archives.

Operational Support:

  • Support the Senior Manager, Global Marketing Operations with departmental invoice processing, KPI reporting, operational dashboards, and ad hoc analyses.
  • Assist with department-wide reporting requests from the VP, Global Marketing Operations & Technology and the SVP, Global Marketing Operations.
  • Coordinate purchase order, invoice, and budget tracking activities with Finance.

Automation & Technology:

  • Design, build, and maintain custom ChatGPT for Work skills, automations, GPTs, Airtable solutions, and other workflow tools that improve operational efficiency, reporting, workflow orchestration, and knowledge management.
  • Evaluate new technologies and identify opportunities to automate repetitive operational processes.

Team Coordination & Mentorship:

  • Partner with and mentor the Coordinator supporting AV billing workflows.
  • In collaboration with the Senior Manager, Global Marketing Operations, develop and maintain departmentally consistent standards for vendor invoice processing, data extraction, reporting, documentation, and quality control.
  • Document standard operating procedures and promote consistent operational practices across Global Marketing Operations.
  • General
  • Support special projects and ad hoc assignments from department leadership.
  • Identify workflow improvements through process analysis and root cause investigations.
  • Maintain a collaborative, customer-service oriented approach while balancing multiple competing priorities.

Qualifications

  • 3+ years of experience in marketing operations, creative, print production, project management, or related operational roles.
  • Strong analytical, organizational, and project management skills.
  • Experience with invoice processing, KPI reporting, vendor management, and workflow documentation.
  • Advanced Microsoft Excel skills; experience with Airtable and AI workflow tools preferred.
  • Excellent communication skills with the ability to work across multiple departments.
  • Self-starter with a continuous improvement mindset.
The anticipated base salary for this position is $30.69/hour to $39.89/hour. This role may also qualify for incentives and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
