This position reports to the Leader, Global Event Management and serves as a key operational partner in delivering high-impact Executive Committee and Board of Directors global events and experiences. The Global Event Management Coordinator operates with a high level of autonomy, managing complex financial operations, vendor relationships, and project workflows while applying project management methodologies to ensure successful delivery across multiple concurrent initiatives. Acts as a developing subject matter expert in event operations, financial processes, and vendor management within Global Event Management.

RESPONSIBILITIES:

Project & Program Execution

  • Collaborate on assigned projects and key program workstreams from initiation through execution and close-out, ensuring alignment with scope, schedule and budget.

  • Apply project management tools and methodologies to support program delivery, including tracking timelines, and deliverables.

  • Provide operational and coordination support across a team of six employees and three full-time contractors, ensuring alignment, task execution, and efficient delivery of program workstreams.

  • Serve as a primary point of contact for stakeholders, addressing inquiries, coordinating deliverables, and maintaining alignment.

  • Contribute to project reporting and status updates, providing visibility into various milestones, financial status, and progress.

Financial, Budget, & Operations Management

  • Oversee and manage complex financial operations supporting up to $26M in annual spend, including vendor payments through Ariba (wire transfers, check requests).

  • Purchase order creation and lifecycle management.

  • Corporate Meeting Card (CMC) reconciliation and compliance tracking.

  • Independently reconcile multiple high-value AMEX Corporate Meeting Cards (>$1M each) and expense reports through Concur.

  • Maintain accurate financial records, ensuring compliance with company policies and audit requirements.

  • Identify opportunities to enhance financial tracking, reporting accuracy, and process efficiency.

  • Support the development and refinement of project and program management processes, policies, and best practices to enhance consistency and effectiveness.

  • Maintain documentation and knowledge management practices to support audit readiness and continuity.

Vendor & Contract Management

  • Manage MSA and contract lifecycle processes through eMarketplace, ensuring timely renewals and compliance.

  • Coordinate vendor sourcing activities, including bid requests for large-volume projects (premiums and gifts).

  • Partner with external vendors (NSO, DMC, production) to support presentations, onboarding, and execution.

Stakeholder & Executive Support Travel & Logistics Management

  • Proactively manage and prioritize a complex, rapidly changing executive calendar, ensuring alignment with business priorities.

  • Support Executive Committee and Chairman's Office requests, including high-touch VIP arrangements (travel, accommodations, special experiences).

  • Coordinate complex domestic and international travel logistics, including air, ground transportation, visa support, and passport renewals. Ensure compliance with global travel requirements while optimizing traveler experience and efficiency.

  • Act as a liaison between senior leaders, administrative teams, and external partners to ensure seamless communication and delivery.

Communication & Coordination

  • Manage high-volume communication channels, responding to inquiries and coordinating event-related communication needs.

  • Open, sort, prioritize, and distribute communications and shipments; respond to routine and time-sensitive requests.

  • Coordinate logistics, materials, and shipments to support event execution.

  • Assist with onsite execution of meetings and events, ensuring smooth operations and issue resolution.

ORGANIZATIONAL/CULTURAL ASTUTENESS

  • Demonstrates strong knowledge of Johnson & Johnson's organizational structure, executive protocols, and global operations.

  • Effectively navigates complex stakeholder environments to drive alignment and deliver high-quality outcomes.

QUALIFICATIONS:

EDUCATION & EXPERIENCE

  • High school diploma required; bachelor's degree preferred.

  • A minimum of 6 years of experience supporting senior leadership, including complex operations, financial management, project coordination, and travel logistics.

  • Experience supporting global programs, events, or other large-scale initiatives preferred.

  • Experience with vendor coordination and management preferred.

Required:

  • Advanced financial and budget management skills with strong attention to detail and accuracy.

  • Demonstrated ability to manage multiple concurrent projects independently, including prioritization and tracking of deliverables.

  • Strong problem-solving and decision-making skills in fast-paced, high-stakes environments.

Additional Description for Pay Transparency:

Subject to the terms of their respective plans, employees are eligible to participate in the Company's consolidated retirement plan (pension) and savings plan (401(k)).

Vacation -120 hours per calendar year
