Administrative Support Specialist (Contractor)

The Administrative Support Specialist (Contractor) provides a broad range of administrative and operational support to the Administrative Division of the United States Attorney's Office, Southern District of Florida. This position supports key functions in Administration, Support Services, Procurement, and Facilities, ensuring efficient day-to-day operations. The role requires strong organizational, communication, and technical skills, as well as the ability to perform physically demanding tasks as needed.

Key Duties and Responsibilities
  • Prepare various written documents using advanced word processing software, including from handwritten or electronic drafts.
  • Maintain organized filing systems for the Support Services Unit; collect and match documents appropriately.
  • Retrieve and provide files upon request; prepare files for archiving.
  • Support general Support Services functions, including receipt, storage, and inventory of supplies and equipment.
  • Receive, sort, and distribute incoming and outgoing mail; assist with mass mailings and labeling.
  • Perform regular and special messenger runs; answer phones and direct calls or take messages.
  • Serve as warehouse receiver, inspecting incoming shipments for accuracy and quality.
  • Operate standard office and warehouse equipment, including hand trucks, flatbeds, pallet jacks, and copy machines.
  • Perform data entry and basic data analysis from multiple sources.
  • Assist with minor repairs of office furniture, fixtures, and non-electric equipment.
  • Lift and handle materials up to 50 lbs. as needed.
Experience and/or Education
  • Some college coursework preferred.
  • Minimum of five (5) years of experience in administrative, professional, or technical roles related to areas such as procurement, property management, office management, contract administration, or similar fields.
  • Valid driver's license required.
Knowledge, Skills, and Abilities
  • Proficiency in word processing software and basic computer applications.
  • Strong organizational and time management skills.
  • Ability to type a minimum of 40 words per minute.
  • Familiarity with office filing systems and mail distribution processes.
