We're looking for a Facilities & Office Manager to join our growing team in West Henrietta, NY!

The Position:
The Office Manager is responsible for overseeing the day-to-day operations of our office and ensuring our facility is maintained in a safe, efficient, and professional manner. This role serves as the primary point of contact for office operations, facility services, and vendor management while providing administrative support that keeps our workplace running smoothly. The ideal candidate is highly organized, proactive, and customer-focused, with a passion for creating an exceptional employee and visitor experience.
The Day to Day:
  • Oversee daily office operations and coordinate facility maintenance, repairs, and workplace improvements.
  • Maintain office and kitchen supplies inventory, water plants throughout facility, maintain cleanliness when and where needed.
  • Manage relationships with vendors, contractors, and service providers to ensure high-quality, safe and cost-effective services.
  • Administrative support including scheduling, planning, event/meeting coordination and communication.
  • Monitor facility-related expenses, process invoices, and identify opportunities to improve workplace efficiency and employee experience.
  • On site reception and visitor management.
  • Provides general administrative support to the Executive Team on an as needed basis.
  • Orders food and set up for various employee events (e.g., flu shot clinic, biometric screening, picnics, business meetings).
  • Builds and maintains strong relationships with internal and external stakeholders.
  • Organizes and maintains confidential information and files.
  • Performs additional related duties as assigned.

What you Bring to Safran:
  • College degree preferred but 4+ years of relevant experience in office administration, facilities management, or similar will be considered in lieu of degree.
  • Strong organizational, multitasking, and project coordination skills with the ability to prioritize competing responsibilities.
  • Professional verbal and written communication and interpersonal skills.
  • Customer-service mindset and the ability to build strong relationships at all levels.
  • Flexible and adaptable to changing priorities.
  • Ability to maintain confidentiality and exercise discretion.
  • Proficiency with Microsoft Office Suite and experience coordinating vendors, managing office operations, and maintaining a safe, organized workplace.
