We are seeking an experienced Office and Payroll Manager to support our team at Tarkett Sports Construction-Northwest, a leading expert in construction management services for projects of all sizes. Reporting to Kelly Fitzpatrick the Office and Payroll Manager will oversee payroll, accounts payable, employee administration, compliance, and daily office operations to support the efficient functioning of the organization.

What you'll do:
Payroll & Employee Administration
  • Process payroll for 25-30 employees, including payroll reporting, tax remittances, and certified payroll requirements.
  • Administer employee benefits, including healthcare, 401(k), and PTO programs.
  • Maintain employee records, including safety training documentation.

Accounting & Compliance
  • Manage accounts payable for vendors and suppliers.
  • Review and reconcile invoices, field tickets, expense reports for credit cards, and supporting documentation.
  • Perform cost coding and ensure pricing, quantities, and vendor documentation are accurate.
  • Maintain COIs, W-9s, and other compliance-related records.

Office Operations
  • Oversee day-to-day office administration and act as a key liaison between field and office teams.
  • Travel to jobsites weekly to pick up documentation and support operational needs; reliable vehicle required.
  • Support Project Managers with invoicing and force account documentation.
  • Manage office supplies, company orders, and equipment maintenance records.

What you need for success:
  • 3-5 years' related industry experience.
  • Experience in payroll administration and employee benefits management.
  • Knowledge of accounts payable, invoice reconciliation, and cost coding.
  • Familiarity with certified payroll and compliance documentation is an asset.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with payroll, accounting, and Microsoft Office applications.
  • Strong communication skills and the ability to work effectively with employees, vendors, and project teams.
