IES Safety, LLC – Administration Division is seeking full-time Operations Administrative Assistant to support daily operations at our Louisville office. This is a full-time, in-person position responsible for providing administrative and clerical support to ensure efficient office operations. The ideal candidate is well-organized, reliable, and able to effectively manage multiple priorities in a dynamic professional setting.

Key Responsibilities

The Operations Administrative Assistant will carry out a range of administrative responsibilities, including but not limited to:

  • Proofreading and formatting reports, policies, correspondence, and other business documents for accuracy and consistency
  • Typing and preparing professional documents and presentations
  • Entering and maintaining data in internal databases and tracking systems
  • Greeting and directing office visitors in a professional manner
  • Answering and routing incoming phone calls
  • Monitoring and responding to general email inquiries
  • Managing incoming mail, deliveries, and packages
  • Maintaining organized filing systems, both digital and physical
  • Assisting with the preparation and distribution of company newsletters
  • Scheduling meetings and managing calendars as directed
  • Supporting additional administrative tasks necessary for the efficient operation of the office

Required Qualifications

  • High school diploma or equivalent required; associate’s degree preferred
  • Minimum of 2 years of administrative experience preferred
