Salary: $63,000 Section II - Description of Duties Performed General Summary of Purpose of this Position: This position supports the operations of the Gallatin Valley Food Bank and HRDC’s Food & Nutrition specialty programs to ensure that department programs run efficiently and effectively. This position works with the F&N Director to develop programming that meets the needs of the community. Responsibilities also include donor tracking and stewardship, customer relations, and other administrative support. Other duties as assigned. Primary Job Duties and Responsibilities 1. Team Leadership & Operational Support (30%) Plans, directs, and communicates operational assignments. Provides coaching, mentoring, training, and ongoing support to staff; completes performance reviews and supports development of individual work plans. Builds a collaborative team culture that encourages staff and volunteer participation, shared problem-solving, and appropriate involvement in decision-making. Participates in the recruitment, selection, onboarding, and training of staff as needed. Works collaboratively with the Operations Manager to support a welcoming, responsive, and consistent customer experience. Provides direct operational coverage when needed, including intake, food rescue, warehouse operations, and special events. Coordinates internship and work-study placements. 2. Communication, Outreach & Collaboration (25%) Builds effective working relationships with customers, staff, community partners, and other stakeholders. Represents HRDC and the Gallatin Valley Food Bank at community, public, and partner meetings. Oversees programmatic outreach specific to customers, responsible for messaging surrounding Gallatin Valley Food Bank programs in collaboration with the Childhood Nutrition Programs Coordinator and Communications team. Oversees partner and cross-departmental requests related to food, events, and other Food & Nutrition resources. Communicates program information, operational expectations, and updates clearly and effectively to staff, volunteers, customers, and partners. Collaborates across HRDC departments to strengthen coordination and help customers access programs and resources available throughout Community Commons. Supports effective communication and problem-solving among staff, customers, volunteers, and partners, involving the Food & Nutrition Director when additional support is needed. 3. Program Oversight and Coordination (20%) Oversees assigned federal and specialty Food & Nutrition programs, including CSFP, SFSP, KidsPack, and other initiatives as assigned. Coordinates with program staff on service delivery, program operations, data collection, compliance requirements, and programmatic decisions. Oversees departmental data entry, maintains required program records, and supports staff in maintaining timely and accurate records and reports. Oversees coordination of Gallatin Valley Food Bank check-in volunteers and provides backup coverage as needed. Supports preparation for monitoring, audits, and reporting requirements associated with CSFP, SFSP, and other assigned programs. Serves as back up for staff coordinators in programmatic positions. 4. Coordination of events and special projects (15%) Assists the Director in coordination and oversight of project development and staffing and volunteer needs for seasonal efforts across programs, including but not limited to Story Mill Learning Gardens, Produce Prescription program, special events, holidays, Can the Griz and Huffing for Stuffing. Builds education programming focused on Food & Nutrition 5. Administrative Support (5%) Assists with program budgeting, monitoring, and financial analysis. Supports timely financial deposits, donor data maintenance, donor inquiries, and donor recognition in collaboration with HRDC’s Resource Development team. Processes bills and coordinates program-related purchasing and financial documentation in partnership with the Operations Manager. Gathers and reviews customer and program data to support timely reporting, program evaluation, and decision-making. Supports administrative and reporting needs of the Food & Nutrition Director and department as assigned. 6. Organizational Participation (5%) Attend all organizational team meetings Read the weekly news to stay informed Participate in trainings and wellness days when available Conduct respectful, professional, and effective conversations with customers and volunteers regarding behavioral expectations, program compliance, and HRDC property standards. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Software, Tools & Technologies: Experience or willingness to learn Google Workspace, Microsoft Suite, copier, scanner, cloud based filing and document sharing, scheduling and calendar tools, phone and messaging systems Willingness to learn proprietary, custom, or online programs or data bases to input, format, and edit data and save, print, or transmit data. Specific Software: Case Worthy, Financial Edge, Raisers Edge, Galaxy volunteer software and Paychex. Section III - Supervision Supervision Received: This position operates under general supervision. The incumbent’s work is primarily assigned by daily workflow and operations. The incumbent is authorized to make decisions as to the timing and sequence of work and the work is performed according to established policies and procedures and/or within applicable laws, rules and regulations governing the tasks being performed. This position supervises the following position(s): Directly supervises subordinate employees This position has the following supervisory responsibilities: This position has responsibility for assigning and checking work and recommends hiring, disciplining, pay adjustments or status changes Section IV - Decisions Impact of Decisions and Errors Made by Position: Decisions, final recommendations, and/or errors primarily affect clients of Food & Nutrition programs. Judgment Required to make decisions: Job duties typically involve frequently changing conditions and problems and require judgment to determine prioritization of tasks. Exception Authority: This position does not have the authority to authorize exceptions to program policy or procedure. Section V - Financial Responsibility: This position is accountable for the following company money, funds, budgets: May handle all Food Bank monetary donations Approves claim forms, petty cash, purchase orders, and other expenditures for routine, budgeted Food Bank expenses, ensuring proper coding of payment requests according to current funding available and associated contract eligibility requirements Monitors expenditures and revenue for food purchasing Section VI - Personal Contacts - The incumbent is responsible for the following personal contacts (either in oral or written form) when performing the duties and responsibilities of the position: Daily interaction with the public or consumers Interacts with program managers, executives, HRDC boards and/or committees several times a year Interacts with representatives of other service providers on a weekly or more frequent basis Interacts with funding agencies to provide information or exchange facts Interacts with governmental compliance or auditors to provide information or exchange facts Represents Food and Nutrition programs with members of the press or media Confidentiality: This position requires regular handling of sensitive and confidential client and agency information.
