ESSENTIAL DUTIES & RESPONSIBILITIES
Sales & Business Development
  • Develop and execute strategic sales and marketing plans to drive private event revenue and achieve annual sales goals.
  • Identify, prospect, and cultivate relationships with corporations, community organizations, social groups, associations, and other potential clients.
  • Solicit and sell private event spaces through telephone outreach, email campaigns, networking, referrals, site tours, trade shows, and personal meetings.
  • Prepare and deliver professional sales presentations to prospective clients and stakeholders.
  • Conduct venue tours and showcase facility capabilities to potential clients.
  • Develop and maintain an accurate understanding of market conditions, industry trends, and competitive venues.
  • Attend local and regional industry meetings, networking events, and trade shows to generate new business opportunities.
  • Travel as required for sales calls and business development activities.

Event Booking & Client Management
  • Manage all private event inquiries from initial contact, planning, event day/night customer service, and post event analysis.
  • Prepare proposals, contracts, deposits, certificates of insurance, and other required documentation.
  • Negotiate pricing, terms, and event details while maximizing venue revenue opportunities.
  • Maintain accurate booking records and event information within the facility booking system and CRM platforms.
  • Manage tentative, definite, contracted, and lost business files.
  • Coordinate event insurance requirements and ensure all required client documentation is obtained.
  • Maintain and update the master calendar of bookings and events as related to private events.
  • Serve as the primary client contact from initial inquiry through post-event completion, facilitating a seamless transition between sales, planning, event execution, and post-event evaluation while ensuring exceptional client satisfaction and retention.
  • Coordinate development and distribution of post-event evaluations and client feedback programs.

Marketing & Revenue Generation
  • Develop and implement marketing initiatives to increase awareness of private event offerings.
  • Collaborate with internal marketing teams to create promotional materials, digital content, social media campaigns, and targeted marketing efforts.
  • Serve as support for event and staged marketing as needed or assigned.
  • Maintain relationships with local hotels, tourism partners, vendors, and community organizations to generate leads and referral business.
  • Analyze sales performance, booking trends, and revenue opportunities to identify growth strategies.
  • Work closely with Food & Beverage and Catering departments to maximize catering and ancillary revenue opportunities.
  • Assist in developing promotional campaigns, prospect lists, and lead-generation strategies.

Internal Coordination & Administration
  • Ensure all departments, including Events, Catering, Operations, Finance, and Marketing, are informed of new, revised, or cancelled bookings.
  • Provide regular updates to leadership regarding sales activity, outstanding contracts, deposits, and event status.
  • Maintain organized and up-to-date client records, contracts, correspondence, and sales reports.
  • Participate in weekly sales and marketing meetings and contribute to departmental planning initiatives.
  • Assist with event management responsibilities as needed to ensure a exceptional client experience.
  • Maintain professional relationships with clients, vendors, facility staff, event partners, and senior leadership.

QUALIFICATIONS
Education & Experience
  • Bachelor's degree in Hospitality, Marketing, Business Administration, Event Management, or related field preferred.
  • Minimum of three to five years of experience in event sales, hospitality sales, venue sales, catering sales, or a related field.
  • Experience managing event bookings, contracts, and client relationships preferred.
  • Supervisory or leadership experience preferred.

WORKING CONDITIONS
Location: On-Site at Buddy Holly Hall, Lubbock, Texas with flexibility for business development travel as required.
