Job Title: Vendor Management Specialist
Location: Oklahoma City, OK (On-site)

Job Summary:

Ted Moore Auto Group is seeking a detail-oriented and organized Vendor Management Specialist to oversee vendor relationships, coordinate corporate services and technology providers, manage communication systems, support operational processes, and ensure vendors consistently deliver quality service across all dealership locations.


Key Responsibilities:Vendor Management
  • Serve as the primary point of contact for corporate vendors and service providers.
  • Build and maintain strong relationships with marketing, technology, telecommunications, and operational vendors.
  • Coordinate vendor onboarding, contract renewals, service requests, and issue resolution.
  • Monitor vendor performance to ensure compliance with service level agreements (SLAs).
  • Obtain quotes, compare services, and recommend solutions that support business needs.
  • Coordinate vendor implementations, upgrades, and scheduled maintenance.
  • Manage the day-to-day administration of the RingCentral phone system across all dealership locations.
  • Troubleshoot system issues and work directly to resolve escalated concerns.
  • Maintain accurate documentation of system configurations and user assignments.
Technical Process Management
  • Develop, document, and maintain Standard Operating Procedures (SOPs) for corporate systems and business processes.
  • Evaluate existing workflows and identify opportunities for process improvement and standardization.
  • Coordinate implementation of new software, technologies, and operational initiatives.
  • Collaborate with IT and department leaders to ensure system changes are communicated and documented.
  • Track system updates, software enhancements, and process changes to ensure consistency across locations.
  • Assist with testing new applications and system integrations before deployment.
Operational Support
  • Coordinate user access and permissions for approved business applications.
  • Maintain inventories of communication equipment and related assets.
  • Assist departments with operational system requests and vendor coordination.
  • Support technology rollouts and operational projects across multiple dealership locations.
  • Monitor recurring vendor services and ensure timely completion of scheduled work.
Documentation & Compliance
  • Maintain vendor records, contracts, and contact information.
  • Keep documentation current for communication systems, technical processes, and vendor procedures.
  • Ensure operational processes align with company standards and manufacturer requirements where applicable.
  • Prepare reports on vendor performance, project status, and operational metrics.

Qualifications:
  • Associate's degree in Business, Information Technology, Operations Management, or a related field preferred; equivalent experience considered.

  • Minimum of 3 years of experience in vendor management, operations, project coordination, or systems administration.

  • Experience working with RingCentral or similar cloud-based communication systems preferred.

  • Experience managing vendor relationships and coordinating service requests.

  • Experience documenting business processes and developing Standard Operating Procedures (SOPs).

  • Automotive dealership or multi-location business experience is a plus.


Preferred Skills:
  • Strong organizational and project management skills.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Strong problem-solving and analytical abilities.

  • Proficiency in Microsoft Office and Google Workspace.

  • Experience with RingCentral administration, CRM platforms, and dealership management systems (DMS) preferred.

  • Ability to build strong relationships with vendors and internal teams.
