Job description

Position Summary:

We are looking for a highly organized Vendor Onboarding Specialist to join our Sourcing Team. In this role, you will not only manage the end-to-end registration of new suppliers but also actively support the Sourcing Team’s broader operations. You will act as the vital link between our Sourcing, QC, Legal, and Purchasing departments, ensuring that new partnerships are launched smoothly and compliantly.

Key Responsibilities:

  • System Integration: Register and set up new vendors discovered by the Sourcing Team into our internal ERP/database systems.
  • Cross-Functional Liaison: Act as the primary point of contact during the onboarding phase, collaborating closely with:
  • QC (Quality Control): To ensure vendors meet technical and safety standards.
  • Legal Department: To verify contracts, compliance documents, and NDAs.
  • Purchasing Handover: Successfully transition fully-vetted vendors to the Purchasing Team for operational execution.
  • Documentation Management: Maintain accurate records of vendor credentials, certifications, and contact information.

Qualifications:

  • Communication: Exceptional verbal and written communication skills for effective inter-departmental collaboration.
  • Attention to Detail: High level of accuracy in data entry and document verification.
  • Efficiency: Ability to manage multiple onboarding workflows simultaneously without compromising quality.
  • Tech Savvy: Proficiency in MS Office / or Google (especially Excel) and experience with ERP software is a plus.

Preferred Skills:

  • Project Management: Experience in managing timelines and coordinating stakeholders is highly preferred.
  • Industry Experience: Prior experience in supply chain, sourcing, or procurement administration.
