Fuel Reconciliation Specialist 

Department: Fuel Logistics & Reconciliation 
Reports To: Director of Fuel Logistics & Reconciliation 
Location: Las Vegas, NV (or designated LV Petroleum location) 
Employment Type: Full-Time 

Position Summary 

LV Petroleum is seeking a highly organized and detail-oriented Fuel Reconciliation Specialist to support our Fuel Logistics & Reconciliation Department. This role is responsible for ensuring the accuracy of fuel transactions, inventory balances, carrier deliveries, supplier invoices, and customer billing records across multiple fuel locations and distribution channels. 

The Fuel Reconciliation Specialist serves as a critical link between logistics, accounting, operations, suppliers, carriers, and retail locations by identifying discrepancies, resolving variances, and maintaining accurate fuel inventory and financial records. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional analytical abilities, and is committed to operational excellence. 

Key Responsibilities 

Fuel Reconciliation & Inventory Management 

  • Perform daily, weekly, and monthly reconciliation of fuel inventories, deliveries, sales, and transfers. 
  • Verify fuel transactions against supplier invoices, terminal reports, carrier documentation, and internal system records. 
  • Research and resolve inventory variances and reconciliation discrepancies. 
  • Monitor fuel shrinkage, overages, shortages, and gain/loss reporting. 
  • Maintain accurate inventory records across all assigned locations. 

Logistics Support 

  • Collaborate with dispatchers, fuel carriers, suppliers, and operations teams to validate fuel deliveries. 
  • Track and reconcile transport movements between terminals, stores, and customer locations. 
  • Support fuel scheduling activities through transaction verification and reporting. 
  • Investigate delivery exceptions and communicate findings to management. 

Financial & Reporting Functions 

  • Reconcile fuel purchases, deliveries, and sales transactions. 
  • Assist with invoice validation and payment processing support. 
  • Generate reconciliation reports and operational performance metrics. 
  • Prepare variance analysis reports for leadership review. 
  • Support month-end and year-end closing processes related to fuel operations. 

Compliance & Documentation 

  • Maintain complete and accurate fuel transaction records. 
  • Ensure compliance with company policies, fuel accounting standards, and regulatory requirements. 
  • Support internal and external audits by providing documentation and reconciliation records. 
  • Develop and maintain reconciliation procedures and best practices. 

Cross-Functional Collaboration 

  • Partner with Operations, Accounting, Logistics, and Retail teams to resolve discrepancies. 
  • Communicate reconciliation findings and recommended corrective actions. 
  • Assist with process improvement initiatives designed to enhance efficiency and accuracy. 
  • Provide administrative and reporting support to the Fuel Logistics & Reconciliation Department.

Leadership Expectations 

While this position does not have direct supervisory responsibilities, the Fuel Reconciliation Specialist is expected to: 

  • Demonstrate ownership and accountability for assigned reconciliation processes. 
  • Act as a subject matter resource for fuel inventory accuracy. 
  • Identify operational risks and recommend corrective actions. 
  • Support continuous improvement efforts within the department. 

Requirements

Qualifications 

Required 

  • High school diploma or equivalent required. 
  • Minimum of 2 years of experience in reconciliation, logistics, inventory control, accounting support, fuel operations, or a related field. 
  • Strong proficiency in Microsoft Excel and data analysis. 
  • Excellent mathematical and analytical skills. 
  • Strong attention to detail and accuracy. 
  • Ability to manage multiple priorities and deadlines. 

Preferred 

  • Associate's or Bachelor's degree in Business, Accounting, Logistics, Supply Chain, or related field. 
  • Experience in fuel distribution, petroleum operations, transportation, or convenience retail. 
  • Experience with fuel inventory systems, ERP platforms, or reconciliation software. 
  • Knowledge of fuel transportation and inventory management processes.
