R+L Carriers is seeking organized and proactive Facilities Fuel Administrative Assistant to support daily operations. This role involves answering and directing phone calls, dispatching service requests to approved vendors, and detailed data entry. You'll also assist with document creation, label production, and inventory management. The ideal candidate is dependable, detail-oriented, and brings a positive attitude to the team. You will also support other administrative staff and escalate issues when needed to ensure timely resolution.
Roles and Responsibilities:
  • Assign and dispatch fuel service calls to approved vendors
  • Coordinate service calls with onsite personnel and maintain clear communications between all parties daily
  • Escalate level 2 projects to the Fuel Manager
  • Create Requisitions for parts or supplies as needed
  • Ensure that all requisitions are fulfilled in a timely manner
  • Manage and dispatch environmental requests in a timely manner
  • Review estimates and invoices for service requests before approval
  • Maintain detailed records of maintenance and corrective actions completed
  • Ensure timely and correct completion of work that has been assigned
  • Complete and Maintain Class A/B UST Operating Certificate
  • Provide excellent customer service to internal and external employees and vendors
  • Process invoices in Oracle
  • Handle incoming and outgoing phone calls and emails with professionalism
  • Assist Facilities Fuel Coordinator as needed
  • Perform other related duties as assigned

Requirements:
  • High School Diploma or equivalent
  • 2+ years of general office or administrative support experience - preferably in the petroleum industry
  • Proficiency in Microsoft Office Suit and Google Docs
  • Ability to type 40+ WPM
  • Ability to work independently with minimal direction and accept ownership of tasks
  • Ability to effectively manage multiple competing priorities and perform all other duties as assigned
  • Demonstrate accuracy and attention to detail
  • Ability to adapt to new technologies and procedures
  • Ability to deal with people and situations diplomatically and professionally
  • Ability to communicate clearly and effectively both orally and written combined with the ability to work effectively in a team environment
  • Highly dependable with ability and willingness to work overtime as required
  • Ability to demonstrate flexibility and patience
  • Ability to adapt to and initiate change
  • Ability to make fast and efficient decisions

Preferred:
  • Prior entry level experience in the Petroleum Industry or related field
  • EPA UST Certifications - Class A/B Operator
