Job description

We are seeking a reliable, detail-oriented Clinical & Front Desk Assistant to support acupuncturists and the front office. This is a hands-on, cross-trained role that moves between the treatment area, herbal pharmacy, and front desk. The right person is organized, calm under a busy schedule, comfortable with patients, and willing to handle both clinical support and everyday clinic operations.


Clinical Support

•    Prepare herbal formulas

•    Deliver Rapid Release Treatments as needed

•    Assist acupuncturists in the treatment area each day

•    Deliver Re-Exams

•    Point pulling

•    Deliver educational visits

•    Deliver Day 4 visits

Front Desk, Billing & Records

•    Process auto-payments: run charges, enter them in QuickBooks, and handle declines

•    Credit card close-outs and reconciliation

•    Daily file pulling

•    File document ticklers

•    Front desk lunch coverage and subsequent point pulling

•    Front desk coverage when other front desk staff are out of the office

•    Assist with confirmation calls

•    Assist with reminder postcards

•    Make photocopies and educational packets

•    Create referral packets and donation packets

•    Herb shipping

•    Shredding

Clinic Operations

•    Errands that keep the clinic running: office supplies, post office, and similar tasks

•    Assist with setup and tear-down of public relations and community events

•    Other duties as assigned

Qualifications

•    Dependable, punctual, and comfortable in a fast-moving clinical setting

•    Warm, professional communication with patients in person and by phone

•    Strong attention to detail for billing, files, and herb preparation

•    Ability to follow protocols and take direction from licensed acupuncturists

•    Comfort with computers, including data entry and QuickBooks (training available)

•    Ability to lift supplies, move files, and stand or walk throughout the day

•    High school diploma or equivalent; healthcare or medical office experience preferred

Preferred

•    Prior work in an acupuncture, chiropractic, massage, or medical office

•    Familiarity with herbal formulas or wellness products

•    Experience with patient scheduling software and credit card processing
