Position Purpose: 
We are seeking great Senior Freelance Production Coordinators (U.S. Based) for upcoming work in the Washington DC area mid May to mid June 2026 OR July- August 2026.   Candidates should be able to be on ground in Washington DC for the entire project duration in May and June 2026 OR July and August 2026 (travel and accommodations provided).  This application is not for full-time employment.    
   
Responsibilities: 
  • Research special projects, vendors, and supplies as assigned by Project Contact
  • Update & manage production schedules, creating agendas, taking meeting minutes/notes distributing them after meetings; contact sheets, crew counts, budget trackers, and other documents as necessary.
  • Will assist across all departments on ground needs to ensure successful delivery of the event.
  • Serve as the main point of contact for vendors and crew when necessary.
  • Distribute radios, crew meals, credentials, petty cash, and any other pertinent crew supplies onsite as needed.
  • Use of credit card and receipt tracking as instructed
  • Help inventory onsite items (rentals, purchases, etc)
  • Misc. administrative tasks as assigned
  • Other duties as assigned
  • This role in particular does have fluidity to it and may vary based on project needs. 
Position Requirements: 
  • Bachelor's degree, 3-4 years minimum of event coordinator experience or similar of increasing levels of responsibility.
  • Have excellent interpersonal & communication skills, both verbal & written
  • Positive, “can do” attitude.
  • Ideal candidate would have past experience as a production coordinator on large scale, “mega events” in professional sports, live entertainment, festivals, or similar.
  • Computer skills: Macintosh OS or Window platform using Microsoft Office, especially Outlook, Excel, and Powerpoint
  • Experience using AirTable, Google docs, or similar database and tracking software.
  • Flexibility to work irregular hours, including evenings, weekends, and holidays, based on event schedules.
  • Ensure that all work conforms to pre-established specifications & standards of TAIT.
  • Take initiative, multi-task, and work positively in a fast-paced environment.
  • Work with discretion, diplomacy, confidentiality, and tact in high-pressure settings.
  • Demonstrate a sense of urgency & act responsively.
  • Work independently as well as within a team environment.
  • Supremely organized, detail-oriented, and thorough.
