Job Description

Our client, a rapidly growing healthcare-focused venture studio, is seeking a polished, proactive, and highly organized Executive Assistant / Office Manager to support its Founder & Managing Partner while overseeing day-to-day operations for the firm's New York office. The firm partners directly with leading health systems to build and scale innovative healthcare companies and is entering an exciting period of growth as it prepares for its next fundraise.

This is a unique opportunity to join a lean, entrepreneurial team of approximately 12 professionals where the Executive Assistant will serve as a true extension of the Founder while also taking ownership of the office environment. The ideal candidate is exceptionally polished, thrives in a fast-paced, high-accountability environment, and takes pride in anticipating needs before they arise. They should be comfortable supporting a senior executive who spends much of the day in meetings, managing complex scheduling and travel, while ensuring the office runs seamlessly and presents at the highest standard.

RESPONSIBILITIES:
  • Provide high-level executive support to the Founder & Managing Partner
  • Manage an extremely active calendar, coordinating internal and external meetings across multiple time zones
  • Coordinate complex domestic and international travel, including luxury travel arrangements, car services, and detailed itineraries
  • Serve as a strategic partner to the Founder, anticipating needs and ensuring priorities stay on track
  • Partner closely with the Chief of Staff and participate in recurring planning meetings
  • Oversee the day-to-day operations of the New York office
  • Ensure conference rooms and common areas are organized, polished, and presentation-ready at all times
  • Manage office supplies, pantry, deliveries, vendors, and general office logistics
  • Coordinate onboarding logistics for new hires and assist with office operations as the team grows
  • Support team events, meetings, and other operational initiatives
  • Take ownership of ad hoc administrative and operational projects as needed
REQUIREMENTS:
  • 5+ years of Executive Assistant experience supporting C-level executives, Founders, or senior investment professionals, with demonstrated longevity at established private equity, venture capital, investment banking, private banking, or other financial services firms preferred.
  • Demonstrated experience managing highly complex calendars and executive travel
  • Exceptional organizational skills with outstanding attention to detail
  • Ability to operate with urgency, discretion, and sound judgment
  • Professional, polished, and executive-minded communication style
  • Proactive, resourceful, and able to anticipate needs with minimal direction
  • Takes pride in maintaining an exceptional office environment and delivering a best-in-class employee experience
  • Comfortable in a fast-growing, entrepreneurial environment where responsibilities evolve alongside the business
SCHEDULE:
  • Full-time position in New York City (Midtown)
  • Hybrid schedule requiring a minimum of three days per week in the office. Additional in-office days may be expected to align with the Founder's schedule and business needs.
COMPENSATION:
  • Target base salary: $80,000โ€“$130,000 (DOE)
  • Bonus and benefits to be discussed
