Position Summary:
The Crew Resources Coordinator provides operational and administrative support to all Flight Operations business segments.
Key Responsibilities:
  • Responsible for documentation of Risk Assessment processes with Flight Crews, and coordinating defined activities based on risk scores
  • Actively coordinate all flight following and flight tracking activities in near real-time, using flight following software, in conjunction with the Dynamic Aviation Safety Management System (SMS) and initiate emergency response if needed
  • Provide flight following updates for all international ferry flights
  • Assist with the development, automation, and daily maintenance of Systems Operations Center (SOC) operational reporting
  • Serve as the point of contact for operational questions
  • Update, maintain and issue company electronic flight bags (company iPads)
  • Maintain NVG certification and keep record of issuance
  • Maintain and administer all subscriptions that support flight operations activities (Garmin, contract fuel, flight tracking, etc.)
  • Assist with aircraft Garmin database updates
  • Perform flight log data entry and Flight Operations Software (FOS) reconciliation with pilots, Aircraft Records department, and the Payroll department
  • Enter pilot records in personnel folders, FOS, and the FAA's Pilot Record Database (PRD)
  • For Defense personnel: maintain personnel records, coordinate all contractual onboarding activities, track computer-based training (CBT) requirements, track travel expenses, schedule all training, maintain deployment schedule
  • Manage the crew house: coordinate personnel residence schedule, maintenance, and cleaning
  • Coordinate and issue airfield Notice to Airmen (NOTAMs)
  • Other duties as assigned

Required Qualifications
  • Highschool diploma
  • Proficiency in all Microsoft Office products
  • Demonstrated effectiveness through self-discipline, teamwork, and communications skills
  • Strong attention to detail and organizational skills
  • Ability to multi-task and work in a fast-paced environment

Preferred Qualifications
  • Some college preferred
  • Aviation background

Additional Requirements
  • Prolonged periods of sitting at a desk and working on a computer
  • Occasional standing, walking, bending, or reaching within the office environment and on aircraft
  • Ability to lift and move items up to approximately 10-20 pounds (e.g., files, office supplies)

Working Conditions
  • Work schedule expectation: regular office hours with rare flexibility needed for weekend and evening coverage
