Corporate Indianapolis
Administrative Assistant - Legal Leasing.
The successful candidate's responsibilities will include, but not be limited to:
The Administrative Assistant for the Legal Leasing Department will provide clerical support to assigned Attorneys and/or Paralegals as they engage in all phases of the negotiation and documentation of retail leases and related documents.
Responsibilities include:
(a) Creation and revision of legal documents at the direction of the Attorneys/Paralegals and in accordance with all corporate/departmental policies and procedures;
(b) Assisting as required in follow-up communication with tenants as well as with Leasing personnel in an effort to expedite the document negotiation process;
(c) Periodic printing/distribution of reports and other documents as required by the Attorneys/Paralegals;
(d) Maintaining an accurate filing system for all documents being drafted by the Attorneys/Paralegals; and
(e) Serving as the communication "gatekeeper" for all external and internal communication for the Attorneys or Paralegals, including performing general telephone duties, scheduling conference calls; taking messages and routing phone calls.
The successful candidate will:
  • Be proficient in Microsoft Word with excellent typing skills.
  • Have a working knowledge of Excel.
  • Have or be able to quickly acquire proficiency in Lotus Notes.
  • Have excellent verbal and written communication skills.
  • Have a professional, "customer service" demeanor.
  • Be flexible and demonstrate a willingness to assist others.
  • Have the ability to work independently without direct supervision.
  • Be self-motivated and take a problem solving approach to work.
